Position Description: | Position Summary:The Technician will organize and execute the daily functions of Conference Services, Corporate Training, and Lifelong Education areas which serves a large volume of rotating customers, including faculty members, staff, students and the general public. The Technician will schedule all internal campus activities other than Credit Classes, Non-Credit Classes, and External events. This position has the responsibility for maintaining an inviting, well organized environment in the Information Center of the ML Building.
Essential Job Duties and Responsibilities: Schedule and coordinate the scheduling of campus facilities for all internal non-instructional activities. This includes scheduling all support services (AV, Custodial, Public Safety) Create and maintain the daily master schedule of all internal and community use rooms on campus. Responsible for registering all Senior Focus students including creating New Student profiles. Scans all forms including Health/Fitness releases, and class evaluations. Responsible for screening all Motorcycle Safety Students in meeting pre-class requirements including an on-line class prep test and safety requirements. Meets regularly with Program manager to update each class registration and report out noncompliance. Review content for ECD Divisional Digital Signage, suggesting changes to meet digital requirements, and also creating content for display for various ECD departments. Receive internal customer feedback on all aspects of services. Reporting out finding to divisional leadership on a quarterly basis Daily communication with Custodial and Media Services with any service changes, additions, or cancellations. Assist and support external Conference Services customers to assist with event management, including any urgent set up, media service, or catering needs. Active participation in annual review of MLB Front Desk Procedures, Senior Focus Data Collection Procedures, EMS Event Management data collection, and Instructor/Class Packet Checklist along with their continual updates. Troubleshoot room set-ups and A.V. problems as they occur. Interface with external clients and assist in event staging when necessary. Work closely with Educational Services as to credit class schedule to avoid scheduling conflicts with non-instructional activities. Triage initial intake for Conference Services, Corporate Training, and Lifelong Education areas including but not limited to, answering the phone, transferring calls, taking messages, emailing responses, and greeting guests. This would include assisting in registrations and customer cancelations for all non-credit programming. Monitor Lumens Chat Feature, and respond to inquiries about classes, processes, and registrations. Work with the Conference Services Coordinator Services in creating daily welcomes to building users posted to touch monitors in the Morris Lawrence Lobby. Act as a resource for general information regarding Lifelong Learning courses, and Corporate Training, and Conference Services products. Act as a “Help Desk” resource for students calling in with questions regarding the non-credit website (Lumens) and online registration. Report any breach in IT Security plan to IT Help Desk. Assist with the training, delegate and oversee work of part time evening and weekend support staff and provide updates as needed to ongoing part time support staff. Perform other duties as assigned. Regular attendance on campus is required for this position
Minimum Qualifications: | Minimum Required Knowledge, Skills and Abilities: High school diploma or GED equivalent and thirty (30) credit hours in related course work and four (4) years relevant work experience OR the equivalent combination of education and work experience. Strong professional interpersonal and telephone skills needed to deal effectively with staff, students, and the public. Demonstrated computer ability in word processing, spreadsheet, and database software (Microsoft Word, Excel and Access preferred). Ability to use the Internet to identify information source and gather data. Ability with notetaking, keyboarding, spelling, basic math, proofreading, and filing. Ability to compose and edit written communications of all kinds. Ability to appropriately handle confidential materials and organize workload to work independently. Ability to learn and use the EMS, Lumens, and SCT/Banner system.
