Access ASU is hiring a Coordinator Senior to support the planning and implementation of K-12 outreach and pre-college programs.
The Coordinator Senior will provide leadership and operational support for Access ASU programs, including major outreach events such as AVID Day, Change the World: Rising Innovators Challenge, campus visits, as well as summer programs across all four Valley campuses.
This position also supports outreach efforts focused on preparing students for enrollment and success at ASU through campus experience programs and special events. The ideal candidate is flexible, creative, adapts to change quickly, and works well independently in a fast-paced environment while delivering a high level of customer service to both university and external communities.
This position reports to the Assistant Director is primarily based on the Tempe campus, and requires regular travel to other ASU campuses and sites throughout metropolitan Phoenix.
Essential Duties:
- Work as part of a collaborative team to support Access ASU programs and goals.
- Plan and coordinate logistics for major Outreach Experiences programs, including but not limited to campus visits, AVID Day, Change the World: Rising Innovators Challenge, Summer camps, and the EOS Scholarship Program.
- Support summer program implementation across ASU's four Valley campuses.
- Coordinate venue reservations, catering, transportation, A/V, supplies, and staffing through ASU systems (e.g., Mazevo, CaterTrax, Workday, and Google Workspace).
- Develop comprehensive event timelines, run-of-show documents, and communication plans for assigned programs.
- Collaborate with ASU colleges, departments, vendors, and community partners to ensure programs reflect ASU's standards of excellence.
- Provide supervision, training, and mentorship to student workers.
- Support budget management by tracking expenses, submitting requisitions, and monitoring vendor payments.
- Maintain accurate templates, records, evaluations, and post-event reports to inform continuous improvement.
- Contribute to department-wide planning meetings, process documentation, and system development to increase efficiency and sustainability.
- Assist with additional Access ASU events and initiatives as needed, including campus visits, college fairs, and community outreach efforts.
- Assist in developing and coordinating outreach strategies to meet the goals of enrolling the full demographic of Arizona students, with a focus on application, admit and enrollment to ASU.
- Other duties and responsibilities as assigned.
Days and Schedule
The work schedule may include early mornings, evenings, and weekends to support program events. On non-event days, the standard schedule is in-person, Monday through Friday, 8 a.m.-5 p.m. During the summer program season, the schedule may be modified to support residential and non-residential programs.
Desired Qualifications:
- Demonstrated ability to plan, prioritize, and execute multiple projects simultaneously.
- Experience coordinating large-scale university or community events.
- Experience working with K-12 schools, districts, or community organizations.
- Experience working with varied student populations.
- Strong verbal and written communication skills; confident in public speaking; highly organized and deadline-driven.
- Proficiency in Google Workspace and familiarity with ASU systems (e.g., Mazevo, CaterTrax, Workday, Airtable).
- Experience onboarding and supervising student workers.
- Bilingual in English and Spanish preferred.
- Commitment to advancing educational opportunities and Access ASU's mission to prepare Arizona students for college success.
Working Environment:
- Work location is primarily in-person at the ASU Tempe campus.
- The incumbent will be required to regularly travel to off-campus to event sites as needed, and other ASU campuses, as needed. Transportation will not be provided by the department/ASU.
- Activities are performed in an office and event environment, involving extended periods of sitting, standing, walking, and coordination in both indoor and outdoor settings.
- The role may require lifting and carrying materials weighing up to 25 pounds
