The School for Engineering of Matter, Transport and Energy (SEMTE) within the Ira A. Fulton Schools of Engineering is seeking a Department Human Resources Specialist to serve as the primary point of contact for human resources and payroll matters pertaining to graduate student and hourly student employees. Under general supervision, this position provides comprehensive human resources, payroll, and administrative support in a complex academic environment with significant instructional and research activity.
The successful candidate will demonstrate strong customer service skills, the ability to manage confidential and sensitive information, and the flexibility to work effectively in a fast-paced environment with frequently changing priorities. This role requires prior human resources experience, knowledge of HR systems and academic policies, and the ability to identify and implement best practices and procedures.
Working Environment:
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (90%); Required to stand for varying lengths of time and walk moderate distances to perform work (10%).
- Occasional bending, reaching, lifting, pushing and pulling up to 20pounds.
- Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
- Ability to clearly communicate to perform essential functions.
- Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, zoom phone and associated computer/technology peripherals.
- This position receives regular review of objectives by department administrator.
Essential Duties:
- Process a high volume of payroll and personnel transactions for new and existing student employees in graduate appointments and hourly student worker positions, including hires, job changes, and terminations.
- Create and distribute offer letters; enter tuition waivers and graduate awards, including University Graduate Fellowships (UGF).
- Create and modify positions and collaborate with the research advancement team to manage position funding.
- Administer department time and leave reporting (OTA) processes for SEMTE.
- Create, maintain, and reconcile payroll and hiring spreadsheets; manage and verify funding for fellowship and student employment records.
- Run dashboards, analytics, and system queries using Analytics, Workday report and other reporting tools to support data-driven decision making.
- Track Affordable Care Act (ACA) eligibility and communicate compliance issues with students and supervisors.
- Provide input and feedback on human resources processes, procedures, internal controls, and payroll quality improvement initiatives.
- Coordinate and advise supervisors regarding the recruitment of hourly student employees, including research and instructional support positions; post positions and process hire requests through Workday in accordance with university policies and procedures.
- Assist with volunteer appointment paperwork and related documentation.
- Act as a backup for administrative support related to visa processes (e.g., J-1, H-1B), including tracking and documentation.
- Compile, maintain, and reconcile source documentation for payroll audits; respond to inquiries and audit requests as needed.
- Investigate and resolve payroll discrepancies, serving as a liaison between SEMTE, ASU Human Resources, and Financial Services to ensure timely and accurate resolution.
- Collaborate with other functional teams within SEMTE to provide cross-unit support as needed.
- Maintain accurate hard copy and electronic personnel records in compliance with ASU, state, and federal regulations.
- Participate in school, college, and university-wide committees and initiatives to support collaborative human resources operations.
- Monitor the SEMTE HR inbox and perform other duties as assigned.

- Experience with SharePoint and Power Automate/Power App is highly desired.

- Experience processing payroll and department time (OTA) for a large organization.
- Proven ability to manage a high volume of work with multiple competing priorities.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office applications (Excel, Word, PowerPoint, Outlook) and Adobe Acrobat.
