The School of Human Evolution and Social Change (SHESC) seeks a highly motivated and organized Department Human Resources Specialist with excellent attention-to-detail skills to join our Business Services HR team. Reporting to the Lead Department Human Resources Specialist, this position is intended to provide high volume support in human resources-related functions within a complex academic unit, including but not limited to the handling of payroll, position management, recruitment, and time reporting processes. This is a great opportunity for someone who enjoys being part of a team to support the day-to-day operations of bustling academic work environment.

The successful candidate will be a self-starter with an efficient work methodology, skilled in maintaining effective working relationships in a diverse population, and experienced in handling confidential and sensitive information. This position requires knowledge of electronic data processing and applications as it applies to human resources.
This position will routinely interact with other members of the SHESC staff, faculty, administrators at all ASU levels, and external parties, so excellent communication skills are critical. They will need to show strong abilities to manage multiple tasks and priorities and be able to problem-solve and work well in a fast-paced, deadline-driven team environment. Knowledge of academic and university policies and procedures and the ability to identify and implement best practice is desirable.
Essential Duties:
Support of Year-Round Recruitment Needs
Support the year-round recruitment efforts of staff and all hourly and stipend-paid student workers in Workday, which includes posting the position, communicating with hiring supervisor and committees, communicating with the applicants, assisting with screening/providing application materials, scheduling interviews, and making job offers.
Serve as the primary contact for hiring and managing Graduate RA/TA appointments which requires developing and maintaining a close and positive working relationship with the staff Manager of Graduate Academic Advising and the faculty Associate Director of Graduate Studies.
Serve as the primary contact for hiring and managing the hourly student grader employee base to monitor hours worked, confirm active student enrollment status, monitor out-of-state remote student workers, etc.
Coordinate the School's formal onboarding and offboarding process for all employee classifications.
Payroll and Personnel Data Management:
Support the School's large volume human resource functions, including processing personnel transaction requests, hiring on multiple funding sources, and processing position renewals; offer letter generation using Adobe Sign; and assisting with preparation of documentation for personnel transactions (such as FTE changes and supplemental pay).
Track and monitor time reporting for professional staff and student workers to ensure timely and accurate entry and approvals in Workday.
Work closely with the appropriate faculty member to assign student graders to their faculty supervisor each session, including assisting with managing the information and communication flow to graders.
Create and maintain spreadsheets used for payroll and hiring, including tracking payroll budgets and student hours.
Maintain SHESC employee personnel files to ensure completeness of documentation and abiding by the standard naming convention.
HR Compliance Management
Carefully monitor and follow up on action items tied to various HR compliance reports and measures overseen by SHESC.
Routinely audit personnel system information to ensure the accuracy and integrity of data.
Create and maintain electronic personnel records based on SHESC and ASU Office of Human Resources guidelines.
Query data reports through various systems, to verify records' accuracy and provide information used by leadership for decision-making.
Develop and update internal process guides to ensure consistency with changes in procedures and practices.
Collaborative Responsibilities
Manage high-priority activities in a fast-paced environment requiring coordination and follow through; respond to administrative inquiries and ensure resolution and follow-up.
Assist Lead HR Specialist with monitoring the SHESC HR inbox to respond or forward to appropriate personnel to provide timely, high-level customer service.
Assist Lead HR Specialist with managing the shared HR Teams calendar to track all deadlines and critical dates.
Provide input and feedback on Human Resource processes, procedures, internal controls, and payroll process improvements.
Perform other duties as assigned by the Lead HR Specialist and Associate Director, Operations to ensure continued efficient operations to fulfill customer service needs, including serving in a backup capacity when needed.

Desired Qualifications:
Experience in academic operations in a higher education institution.
Evidence of (3) years of experience in Human Resources.
Experience and understanding of record keeping/retention and ensuring adherence with policies, practices, and regulations.
Experience in working independently in a fast-paced, high-volume office environment with constant deadlines and changing priorities.
Experience working with confidential information.
Experience with Workday, Microsoft Office, Microsoft Teams, Google Drive, Dropbox, Adobe, AI Software, and Amazon Workspaces.
Experience in work that requires attention to detail and critical thinking skills.
Experience and judgment to plan and accomplish goals, including willingness to think creatively.
Experience in developing and maintaining cooperative working relationships with others.
Evidence of effective communication skills, including composition, grammar, spelling and proofreading skills.
Working Environment:
This position requires:
A Monday-Friday work schedule.
Working in-person on the Tempe campus, though partial remote work arrangements are a possibility after the probationary period.
Working both independently and within a structured team.
Clear verbal and written communication to perform essential functions.
Dealing with quickly changing priorities, which may include and/or are subject to resolution of conflicts.
Performing activities in an environmentally controlled office setting.
Using software and computer equipment (i.e. monitor, keyboard, mouse) for extended periods of time.
Using office equipment (i.e. printers, copiers, fax machines, telephones, calculators).
Frequently bending, reaching, lifting, pushing, pulling, and transporting up to 25 pounds.
Standing for varying lengths of time and walking moderate distances to perform work.
