Job Summary | The Donor Relations Concierge serves as a central ambassador for University Advancement, delivering exceptional hospitality and logistical support to donors. Whether assisting a first-time visitor, coordinating a high-profile donor visit, or supporting campus events, the Concierge plays a key role in representing the university’s values of service and engagement. The ideal candidate will anticipate needs, manage complex itineraries, and collaborate with departments across campus to ensure interactions reflect the university’s commitment to excellence. While the Donor Concierge collaborates closely with departments and subject-matter experts across campus to coordinate exceptional visitor experiences, the role is not responsible for executing the specialized work of those units. Instead, the Concierge serves as a liaison—connecting guests to the right resources and ensuring a smooth, well-informed experience—without assuming operational or administrative responsibilities outside the scope of the position.
Responsibilities | Donor Services & Engagement
Serve as the primary Donor Relations contact for donor inquiries received via phone, email, or through university leadership, ensuring each interaction is handled with discretion, warmth, and efficiency. Provide timely, personalized responses to requests related to gift receipts, acknowledgment letters, giving history, parking, fund information, and other concerns Proactively resolve donor issues related to parking, communications, mailings, data errors, or contact preferences—coordinating with Advancement Services and other departments to ensure accuracy and resolution Track the status of donor-related tasks and requests using Asana or other project management tools, ensuring visibility, accountability, and timely follow-through. When requested by the CPO, coordinate and execute detailed donor visit itineraries, ensuring all logistical needs (transportation, parking, meals, meetings, tours, etc.) are addressed. Maintain accurate records of donor touchpoints and service resolutions in the CRM and internal systems.
Administrative Support
When requested by the CPO provide broad administrative support to the Donor Relations team, including calendar coordination, meeting logistics, data entry, stewardship tracking, and document preparation. Assist in monitoring donor communication trends and service needs to help inform proactive engagement strategies. Submit and update donor information in the university’s CRM system as new addresses, emails, and phone numbers are shared or returned mail is received.
Operations & Collaboration
Collaborate closely with development officers, Advancement Services, academic units, and senior leadership to support coordinated donor experiences without assuming the responsibilities of those departments. Work with departments within University Advancement, the President’s Office, and other campus partners to fulfill donor requests. This will involve job shadowing and cross training in the other departments, especially with the senior director of Gift Services and the associate director of Alumni & Donor Records. Understand general structure of Main Campus and U of U Health, as well as admissions (information packets), housing, scholarships. This will also include maintaining relationships with area contacts. Contribute to the development and refinement of standard operating procedures (SOPs) related to donor engagement, concierge services, data integrity, and visitor hospitality. Act as a reliable, solutions-oriented liaison between donors and university departments—ensuring that inquiries are routed appropriately and resolved promptly. Uphold confidentiality and professionalism in all communications and data handling.
