Scope of Job | Leads and provides senior level oversight in the development and decision making and achievement of departmental goals in alignment with the division’s and university’s strategic plan. Responsible to establish parameters to determine and measure the division operational performance and its efficiency and effectiveness.
Description of Duties
Provides senior-level oversight and executive decision-making advice for all division operations and strategic planning as it relates to budget planning, fiscal and resource planning/administration, human resource utilization, policy administration, and coordination of activities with other entities. Manages and participates in the development and implementation of departmental/division goals, objectives, policies and priorities of the assigned area; makes recommendations for appropriate service and staffing levels in accordance with university policies and procedures. Oversees specific projects within the division, from planning through execution and evaluation, in coordination with department leads, managing timelines, and ensuring project goals are met. Provides administrative direction and support to the department; in collaboration with the division head, ensures compliance with institutional guidelines and state and federal laws. In collaborations with the office of Human Resources, oversees and coordinates HR functions such as recruitment, onboarding, training, performance management, and employee relations within the division. Consistently attends meetings representing the department on administrative and financial issues. Establishes and maintains working relationships with organizational peers, serves on committees, ensures that departments respond to institutional requests and complete projects in a timely fashion. Acts as a liaison between the division and other parts of the organization, as well as external stakeholders. Maintains effective communication for aligning the division’s activities with broader organizational goals. Develops and implements programs and performance standards aimed at continuously meeting and enhancing safety, service and high quality. Oversees the monitoring of these standards by coordinating training, allocating resources effectively, and applying corrective actions as needed. Relieves division head of a wide variety of internal administrative duties which require a thorough understanding of the functions, programs, and policies of the University. Oversees and coordinates professional functions as needed for the division. Ensures divisional adherence to organizational policies, industry regulations, and legal requirements. Maintains accurate records, databases, and documentation related to division activities, and utilizes data for reporting and decision-making purposes. Provides administrative support to senior management and division staff, including scheduling meetings, managing communications, and handling documentation. Addresses and resolves issues or conflicts that arise within the division and implements solutions to improve operational effectiveness. Performs other duties as assigned.

Required Education | Bachelor’s degree from an accredited university.
Preferred Education | Master’s degree from an accredited university.
Licenses/Certifications | None.
Required Experience | Five (5) years of experience in a related field, including one (1) year of supervisory experience. Directly related experience may be substituted for education on a one-to-one basis.
Preferred Experience | None.
Equipment | Use of standard office equipment.
Working Conditions | Needs to be able to successfully perform all required duties. Office Environment; some travel and weekend work is required. UTRGV is a distributed institution which requires presence at multiple locations throughout the Rio Grande Valley.
