Supervises student/clerical personnel to include planning, assigning, and reviewing their work.
Initiates drafts of correspondence for the Chancellor to include composing, preparing, and editing both routine and non-routine work (reports, letters, records, etc.). Provides representation to the general public and University System through various communications including receiving and screening telephone calls and visitors as well as facsimile correspondence and electronic mailings; handles matters that require pertinent information to include solving any procedural problems; arranges all telephone calls and conference calls. Organizes meetings and maintains appointment calendar for the Chancellor. Calls and schedules meetings making sure the appropriate office personnel is aware of upcoming meetings, to include briefing on matters pertaining to the called meeting and assembling the necessary documents. Coordinates appointment and event schedules making sure the appropriate office personnel receive the necessary material prior to the engagement.
Organizes and maintains control of files in the Chancellor’s Office to include sorting files, removing outdated material, and matching related documents, cross-filing where necessary.
Makes purchases for the Office of the Chancellor; recommends/requisitions equipment and supply purchases on an as needed basis.
Monitors attendance, maintains files and submits reports for the Chancellor’s Office and personnel directly under the Chancellor’s supervision.
Assists and supports University fundraising and development efforts; provide support for internal Development Committee and Special Events Office.
Assists in the development of policies, general practices, and procedures for use of office equipment (facsimile machine, copy machine, computer programming, voice mail, etc.).
