Job Description
Paul D. Camp Community College is a small 2-year college in Southeast Virginia. Campuses are located in Franklin and Suffolk. There also is a center in Smithfield. The college offers associate degrees, certificates, and career studies certificates In transfer and career/technical programs; credit and non-credit workforce services and training for businesses and industries; special interest classes for the community; and summer classes for youth through the Regional Workforce Development Center. A dual enrollment program for high school students, online courses, and developmental studies classes are available at the college as well.
Responsibilities include: The Executive Assistant provides comprehensive administrative assistance to the Office of the Vice President of Academics and Student Success, ensuring high-quality customer service and satisfaction, and contributing to the effective functioning of the Division. Supporting day-to-day office operations by keeping the Vice President’s calendar up-to-date; receiving incoming phone calls, taking messages, and carrying out appropriate actions; preparing letters and other documents for mailing; securing travel arrangements and reimbursements; scheduling meetings; taking minutes; maintaining records/files. Maintaining documentation for adjunct faculty files; producing schedule and pay data for adjunct faculty contracts. Assisting with class scheduling; serving as application administrator for event and resource scheduling; maintaining Division events calendar. Preparing budget summaries and reports; entering requisitions and tracking office expenses. Assisting with planning and implementation of departmental and college-wide events such as Convocation and Commencement. Serving as back-up Assistant to the College President in the absence of the President’s Executive Assistant.
Special Assignments | May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
KSA's/Required Qualifications | High school diploma or equivalent. Experience in a position that provides service to the public.
Required knowledge, skills and abilities include the following: Experience working with various technology applications such as word processing, spreadsheets, databases, and email. Demonstrated ability to apply quantitative reasoning and numeracy skills to maintain and perform calculations with various data, such as data needed for employee contracts and pay. Excellent organizational and time-management skills. Demonstrated ability to effectively maintain files and electronic records. Demonstrated ability to take notes/meeting minutes. Demonstrated ability to communicate verbally and in writing. Demonstrated ability to prioritize and work effectively in a fast-paced environment Demonstrated ability to work independently as well as collaboratively Demonstrated ability to meet deadlines Demonstrated ability to exercise initiative and judgment consistent with college mission, values, and policies Demonstrated ability to maintain confidentiality of personally identifiable information Demonstrated ability to provide excellent customer service to various constituencies such as faculty, staff, students and the public.
*All full-time classified employees new to the Commonwealth of Virginia will serve a 12-month probationary period.
Additional Considerations | Associate Degree preferred in administrative support technology, information technology, or other field related to the required competencies and responsibilities of the position. Experience working at a college preferred.
