Strategic Administrative Leadership:
- Provide high-level administrative support to the Vice President and Advancement Division
- Coordinate Foundation Board meetings, donor communications, and special projects
- Manage calendars, correspondence, and confidential records with precision and professionalism
Impactful Work in Advancement & Donor Relations:
- Process and track gifts using financial and database systems
- Support donor engagement and alumni outreach initiatives
- Prepare reports, presentations, and executive communications
Collaborative & Confidential Environment:
- Serve as a liaison between the Vice President and internal/external stakeholders
- Work closely with other Executive Assistants to ensure seamless office operations
- Maintain discretion and sound judgment in all communications and decisions
Key Responsibilities:
Executive & Administrative Support
- Perform advanced administrative duties for the Vice President and Advancement Division
- Prepare agendas, take meeting minutes, and manage scheduling logistics
- Draft and proofread correspondence, reports, and presentations
Donor & Board Engagement
- Process gifts and maintain accurate donor records
- Coordinate Foundation Board meetings and special events
- Collaborate with Advancement staff to ensure a positive donor experience
Office & Project Management
- Manage calendars, travel, and expense reporting
- Analyze data and prepare monthly and quarterly reports
- Support cross-departmental coordination and problem-solving
What We’re Looking For:
- Associate’s or Bachelor’s degree or equivalent experience
- Five years of administrative support experience, with at least three years supporting an executive (preferred)
- High proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Strong organizational and problem-solving abilities
- Independent, detail-oriented, and resourceful
- Excellent interpersonal and communication skills
- Ability to manage multiple priorities with discretion and professionalism
Additional Instructions For Applicants:
Most positions at CWI are in-person and based on campus. While some roles may allow up to two remote workdays per week, eligibility for remote work is determined on a case-by-case basis at the hiring manager's discretion. All candidates must reside within, or be willing to relocate to, a reasonable commuting distance from CWI. Employment visa sponsorship is not available for this position.
