Position Summary
The Executive Assistant (EA) serves as the primary point of contact for Dean Torrey Wilson of the Graduate School of Professional Psychology (GSPP). As a successful candidate, you will have excellent communication skills, impeccable attention to detail, follow-through, flexibility, and strong technology skills. You will provide wide-ranging administrative support, including managing the Dean’s schedule, supporting meetings with guests and donors, and arranging domestic and international travel. You will use good judgment to make decisions that align with the Dean’s priorities and university and GSPP policies, including maintaining confidentiality. You are the firm but kind gatekeeper of the Dean’s time who appreciates candor, stays flexible, and keeps a sense of humor.
As a representative of the school, you will be clear and courteous in interactions with a wide variety of constituencies including senior university leadership and their teams, faculty, students, staff across campus, GSPP Advisory Board members, and other external contacts. You will also manage diverse projects to support the Dean’s strategic goals both independently and collaboratively. This position requires significant adaptability and a commitment to teamwork, including cross-training to support other staff.
This is a full-time (37.5 hour/week) benefited, position that is primarily on campus during the university’s working hours of 8:00am – 4:30pm, with limited remote work opportunities in consultation with the Dean and in accordance with the university’s remote work policies. The preferred start date for this position is Monday, August 25th.
Essential Functions
- Manages the calendar for the Dean, acting as a gatekeeper; coordinates and handles conflicting requests with grace and good judgment.
- Provides all administrative support for the Dean, including scheduling, travel arrangements, expense reports, correspondence, fundraising support, performance management, hosting guests, etc.
- Coordinates GSPP Board of Advisors meetings and related items in consultation with the Dean, Executive Director of Advancement (GSPP), other Advancement staff, and GSPP faculty and staff (as required by varying Board meeting agendas and presentations).
- Finalizes Board Book, including proofing and formatting.
- Drafts Notes of the meetings for staff and Board Chair review.
- Maintains Members’ contact lists and bios.
- As needed and as available, leads event planning and day-of management for select GSPP community events and occasional activities such as faculty candidates visits to campus, accreditation site visits, etc.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Dean, determining appropriate actions, either independently or in consultation with the Dean and others.
- Assists the Dean with special projects, some with institution-wide impact, many including faculty, staff and external partners.
- Cultivates strong relationships across the university to ensure that GSPP is following and sharing best practices.
- Cross-trains with GSPP staff regarding parking permits, supplies orders, building operations, and other operational issues as necessary.

- Strong technology skills, including familiarity with MS Office Suite, Adobe Acrobat Pro, and a demonstrated ability and desire to learn new programs.
- Proactive problem-solving skills with strong reasoning and decision-making capabilities.
- Ability to manage multiple ongoing projects, contend with competing priorities and multiple coinciding deadlines, and to quickly adapt to change.
Required Qualifications
- A two-year degree or equivalent training and experience.
- 3-5 years of work experience that is directly related to the essential job functions.
- Experience working with leadership.
Preferred Qualifications
- A four-year degree in a related field or equivalent training and experience.
- 4-6 years relevant experience providing administrative assistance that is directly related to the essential job functions.
- Experience communicating with, and assisting high-level leadership, donors, and external and internal contacts.
- Experience in higher education or a similar complex environment.
- Experience with the Microsoft suite including Teams and Outlook
- Experience with DU systems such as Concur, Banner, Piosphere, Tableau, Momentus, etc.
Working Environment
- Standard office environment.
- Unexpected interruptions occur often and stress level is moderate to high.
- Noise level is quiet to moderate.
Physical Activities
- Ability to work in front of a computer for extended periods of time.
- Occasionally required to move about the office/campus.

Salary Grade Number
The salary grade for the position is 10.
Salary Range
The salary range for this position is $62,000-$72,000.
