The Human Resource (HR) Records Administrator is responsible for maintaining accurate, compliant, and confidential employee records while supporting core HR operations. This role manages HR data within the HRIS, prepares reports and documentation, and ensures adherence to legal and regulatory requirements. The ideal candidate is detail-oriented, highly organized, and comfortable working with HR systems and data to support onboarding, reporting, compliance, and overall workforce effectiveness.
- Data Management: Collect, organize, and maintain HR data in the Human Resource Information System (HRIS), ensuring accuracy and completeness of employee records, including personal information, employment history, and performance metrics.
- Reporting: Generate and distribute HR reports to senior management and stakeholders, providing insights that inform HR strategies and policies.
- Data Compliance: Ensure that HR data management practices comply with legal and regulatory requirements, including data privacy laws and confidentiality.
- System Maintenance: Support and maintain HR systems, troubleshoot technical issues, and provide training to HR staff on using these systems.
- Basic Data Analysis: Analyze HR data to identify trends and insights that can improve workforce performance and well-being.
- Documentation: Prepare employment contracts, offer letters, and policy updates.
- Compliance: Ensure all records comply with legal, regulatory, and internal policies.
- Onboarding/Offboarding: Coordinate new hire paperwork, background checks, and separation documents.
- Data Accuracy: Review records for accuracy and update employee information (e.g., address, salary, role changes).
- Reporting: Generate reports on HR metrics like turnover, attendance, and headcount.
- Information Security: Handle sensitive and confidential employee information securely.

What We Need From You::
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements below are representative of the knowledge, skill, and/or ability required.
- Bachelor’s degree in human resources, data management, or a related field is helpful, or years of related experience in a data field.
- Two or more years of experience in HR data management and analysis, or a comparable data-focused role.
- Effective communication skills to convey complex data and technical information in a clear manner.
- High accuracy in data entry and file management.
- Ability to manage sensitive personnel data with discretion.
