Residency Requirements: This position is virtual and strongly prefer residents of Texas. May consider residents of surrounding states (NM, OK, AR or LA). This position could include travel up to 20% of the time for face-to-face professional development, student testing, and/or as required by the school.

The Lead Registrar supports the Registrar Level 1 team by providing training and answering questions regarding updated processes and procedures. This position is assigned projects throughout the year to ensure compliance. This role also supports school administrators by processing requests for both new enrollments and withdrawals, maintaining student files and records that are both clerical and academic in nature, performing routine administrative duties and facilitating communications with various stakeholders.

This is a full-time position. Ability to work independently, typically 40+ hours per week is required. Ability to maintain a professional home office without distraction during workday, typically 9-5 (or 8-4) or as defined by the school. 

ESSENTIAL FUNCTIONS:

  • Answer Registrar questions regarding processes;
  • Lead and/or assist with training sessions for new hires and ongoing training for current staff;
  • Assist Attendance with special projects as requested/needed during the year;
  • Assist the Enrollment Coordinators with special projects as requested/needed during the year;
  • Request, process, and fulfill student educational records;
  • Complete report card, transcript, verification of enrollment, and district requests;
  • Contact families to request missing information or required documentation;
  • Answer phone calls and emails from families, staff, and districts. Assist them with obtaining the information that they request;
  • Audit student documents for accuracy and eligibility;
  • Set up rideshares to assist families to get to state testing;
  • Assist with state testing calls during various testing windows throughout the school year;
  • Assist with re-registration calls and emails;
  • Processes student withdrawals; fulfills records requests for withdrawn students within prescribed time frames;
  • Processes parent contact and data information changes;
  • Maintains K12 and state student-level databases, including data entry.
  • Ensures all tasks and communication performed by Registrars are compliant with the Family Educational Rights and Privacy Act (FERPA).

Supervisory Responsibilities: This position provides occasional informal supervision of temporary staff or records support staff in order to complete tasks and projects on a timely basis.

MINIMUM REQUIRED QUALIFICATIONS:   
  • Two (2) years of related professional experience
  • Demonstrated ability to effectively train/mentor others
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills including ability to communicate professionally with tact/civility
  • Customer service-orientation
  • Detail-oriented, able to identify errors in data and information
  • Ability to multi-task and complete tasks quickly and accurately
  • Ability to maintain confidentiality
  • Ability to quickly adapt to changes in processes, procedures, and assigned tasks
  • Willingness to be a team player and help others when needed
  • Ability to effectively use Internet search engines, and enter and retrieve information from databases
  • Intermediate proficiency in Office 365 applications (Outlook, Excel, Word), Google or similar applications
  • Willingness to obtain special licenses or certificates such as Notary
  • Ability to lift up to 25 lbs.
  • Ability to clear required background check
