About the Role:
Ivory Innovations is seeking a highly organized, proactive, and detail-oriented Program & Operations Coordinator to support our growing team. This role is ideal for someone who enjoys keeping operations running smoothly, coordinating logistics, and supporting leadership and programs behind the scenes. The position will help manage day-to-day administrative operations while supporting key Ivory Innovations programs, including the Ivory Prize, Hack-A-House, and our student engagement initiatives.

Responsibilities  | Key Responsibilities Administrative and Team Support Coordinate calendars and scheduling for team members, including meetings with partners, judges, speakers, and stakeholders Provide administrative support to leadership and staff, including meeting preparation, note-taking, and follow-ups Track and coordinate recurring meetings, deadlines, and logistics across team workflows Maintain and update contact lists for partners, sponsors, speakers, judges, alumni, and student participants

Program and Student Engagement Support Help coordinate logistics for the Ivory Prize, Hack-A-House and other Ivory Innovations programs Support student-facing initiatives including the Student Associate program, fellowships, and related engagement activities Coordinate onboarding and logistics for student associates and fellows, including scheduling meetings and managing program materials Assist with scheduling guest speakers, meetings, and program sessions as needed

Events and ConveningsSupport planning and logistics for small convenings, workshops, and external events hosted by Ivory Innovations Coordinate RSVPs, catering, materials, and day-of logistics for program events Assist with preparation of materials and logistics for meetings, presentations, and convenings

Office OperationsSupport day-to-day office coordination, including supplies, shared documents, and process upkeep Assist with basic administrative processes related to hiring, onboarding, and payroll coordination for student staff Support ad hoc projects and team needs as they arise

Minimum Qualifications  | Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience). Four years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required. Master’s degree in a related area may be preferred.
