Job Description | The Faculty Support Manager will lead day-to-day departmental operations for an office which provides administrative, technical, and operational support to faculty members, acting as a key liaison to ensure smooth academic operations, manage projects, and assist with teaching, research, and administrative duties. Responsibilities include managing communications, scheduling, travel, and reimbursements, coordinating events, managing technology, and assisting with budget tracking.
Develop training materials for faculty and office staff, document all procedures, and continually review and recommend improvements to the Dean’s Office. This role serves as the main resource for faculty support, requires exceptional organizational skills, effective communication, attention to detail, and the ability to multitask and prioritize in a dynamic academic environment.
Education and Experience | Two-year degree required, bachelor’s degree is preferred; however, 5-10 years of relevant professional and managerial experience may be considered in lieu of a degree. Experience in higher education is highly desirable. Demonstrated ability to communicate and collaborate effectively with both internal and external stakeholders is required.
Skills and Knowledge | Organizational and interpersonal skills, as well as computer proficiency in various applications. Professionalism and confidentiality are necessary for effective interaction with alumni, faculty, administrators, and staff. Managing multiple tasks, problem solving, prioritizing deadlines, and exercising independent judgment. Experience with event planning and clerical duties is valued. Writing and editing skills, including proper grammar, spelling, and punctuation, are also preferred.
Responsibilities | Manage day-to-day departmental operations for the Faculty Support Office which provides technical and administrative support for all 3 semesters to approximately 60 COL faculty members, including part-time instructors, for residential, online, and summer courses, utilizing tools such as Microsoft 365, Blackboard, Zoom, Teams, Qualtrics, Turnitin, OSCAR, and ExamSoft. Responsible for implementing improvements and efficiencies which will assist faculty including providing training on Blackboard and accessible document creation for all faculty and staff as needed. Ensure faculty adhere to College and University policies and deadlines throughout the year including managing syllabi and exam collection, and grading coordination of faculty members. Other services performed by the office include proof reading, editing, uploading syllabi and midterm/final exams, maintaining confidentiality of mid-term and final exams and preparing articles and handouts for classes. Must stay current with emerging technologies and recommend process improvements to faculty.
Financial: Manage financial information for faculty members, including budgeting for events, purchase requisitions, purchase orders, travel reimbursements, and credit card reconciliations. Monitor annual spending allowances for faculty including research and professional development funds to ensure reimbursements are submitted within available balances. Maintain and reconcile a SU credit card to coordinate faculty dinner meetings and events. Collaborate with the College of Law Budget and Operations office to ensure timely submissions and adherence to University policies.
Faculty Event Oversight: Collaborate with faculty program directors to plan, coordinate, and execute academic and co-curricular programming and events. Develop and implement streamlined processes to enhance efficiency in scheduling facility space. Oversee all logistical aspects of class, lecture, and event scheduling. Serve as the primary point of contact for resolving scheduling conflicts and coordinating event communications. Manage the planning and execution of a wide range of events, including but not limited to: Disability Law & Policy Program VIP lectures and webinars, annual conferences, CLE credit events, Youth Law Day, Girls Rule the Law (in partnership with local high schools), Coming Back Together programs, Supreme Court Preview, and student organization receptions (e.g., BLSA). Oversee event budgets, scheduling, and run-of-show to ensure seamless execution. Analyze year-over-year budgets and expenditures related to travel, speaker engagements, and event costs to ensure fiscal accountability and identify opportunities for cost optimization.
Staff and Student Employee Management: Manage day-to-day operations of the Faculty Support Office, including hiring, training, and supervising the Faculty Support Associate and student workers. Overseeing and reviewing work assignments to ensure quality and timely completion. Recommending and implementing process improvements to enhance the efficiency and accuracy of faculty support functions. Creating and maintaining weekly schedules to ensure adequate office and event coverage in alignment with college needs. Approving work-study payroll and ensuring compliance with institutional policies. Providing ongoing performance feedback and conducting formal evaluations through the annual HR Performance Partnership process.
Crosstrain with Dean’s Office Staff: Work with Executive Assistant to the Dean, Administrative Specialist II, and Administrative Assistant I by assisting with faculty hiring logistics, course evaluations, large event planning, and backup support. Assist as necessary to coordinate and staff events coordinated by the Dean’s Office, including Convocation, Commencement, Alumni Weekend, and others including those held outside of typical business hours.
