Job Summary  | The Spencer Fox Eccles School of Medicine at the University of Utah Office of Admissions looks forward to welcoming its Manager of Admissions Process. This key role requires a strategic problem solver and forward thinker to lead all aspects of the Admissions process. This entails planning, implementation, evaluation, and overall administration of the admissions application screening process, interview process, and scholarship oversight.  A successful applicant will excel in connecting with others and exhibit strengths in customer service and problem-solving. While formal training and mentorship are provided, we value lifelong learning and seek candidates with a demonstrated ability to learn independently. Applicants must be detail-oriented, and comfortable with large, complex data sets, and pride themselves on high-quality deliverables. Responsibilities  | Guide the workflow of AMCAS data to internal CRM (AMP) for application processing, ensuring accurate and timely data integration, troubleshooting system issues, and collaborating with technical and admissions staff to optimize application processing efficiency. Recruit and retain 5+ Dean’s Office staff members to serve on the application screening committee, fostering engagement through clear expectations, training, and ongoing support, and promoting collaboration between Admissions and Dean’s Office personnel. Manage the screening pools and workload of the application screening committee, ensuring equitable distribution of applications, monitoring progress to meet deadlines, and maintaining high standards for consistency and quality in the applicant review process. Lead the Interview Invite Sub-Committee, facilitating discussions on applicant review and selection, coordinating meeting logistics, and ensuring timely and data-informed decisions on interview invitations. Serve as the essential point of contact, managing all logistics for MD, MSTP, SUMRC Interview Days, which occur annually from September-December with the Associate Director to develop and monitor the interview season calendar and overseeing communications among the admissions team, interview subcommittee members, and applicants (January-June). Oversee and analyze Interview Day data (September-April), preparing proposals, reports, protocols, presentations, publications, and progress updates, with the ability to pivot as needed to meet MD program goals. Manage the logistics of the interview assessment process, including both Multiple Mini Interviews (MMI) and Traditional Interviews, by leading rubric scoring design, implementation, and related work groups. Lead the Interview Committee of 100+ faculty, students, and community volunteers, overseeing their recruitment, training and support before and during Interview Days annually from March-April. Facilitate post-Interview Day surveys to benchmark experiences of committee members, Dean’s Office staff, and applicants, aiming to enhance the Interview Day process for the next cycle. Manage and maintain Admissions Scholarship policies and programs, ensuring compliance with regulations and attend all regularly scheduled scholarship meetings. Collaborate across teams to coordinate financial aid communication plan and manage scholarship awards from various Dean’s Office departments. Represent the Office of Admissions and collaborate with campus and community partners to enhance the applicant experience and promote existing and new programs and/or policies. Participate in Admissions, Health Sciences, and University-wide committees as assigned to establish customer service standards, administrative plans, and policies. Liaise with organizations on national and regional evidence-based practices, data collection, and collaboration opportunities. May involve serving on regional and national committees, preparing scholarly work with colleagues, and sharing best practices at conferences. Attend local, state, and national AAMC and related conferences to stay current on industry best practices. Initiate self-directed learning via webinars, teleconferences, academic journals, and other sources and promote these opportunities to the Admissions Staff. Other duties as assigned.

Minimum Qualifications  | Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience).
Four to six years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Master’s degree in a related area may be preferred.

Preferences  | Master’s Degree in a related field strongly preferred. Demonstrate management skills to effectively lead multiple committees. Comprehensive understanding of confidentiality, holistic review, and integrity in the admissions process, along with expertise in medical education admissions practices, application evaluations, and testing methods, to effectively analyze, plan, and provide recommendations to leadership. Strong analytical, problem-solving, systems thinking, and project management skills, along with personnel management experience. Skilled in working with databases and online CRM platforms, with extensive experience in program development and outcome assessment; strong proficiency in data reporting and compliance, and expertise in mining and maintaining historical data. Ability to work independently and collaboratively, anticipate issues, and make data-informed decisions is essential. Must be proficient in making daily operational decisions to ensure compliance of current regulations and guidelines. This position requires strong organizational skills along with excellent interpersonal and communication skills, both verbally and in writing.
