The Marketing & Sales Operations Specialist responsibilities include providing comprehensive operational support across various departments, including Marketing, Sales, Partner Support, Publisher Account Services, Public Library North America, Education, and International Sales. This role focuses on enhancing operational efficiency and effectiveness to improve the quality and impact of organizational efforts. Responsibilities include defining and refining end-to-end workflows, documentation, system design, reporting, budget alignment, and fostering collaboration among multiple teams. Additionally, the Specialist will contribute to streamlining sales-related operations, including lead management, contract workflows, sales process optimization, and KPI analysis. Proactively driving operational improvements in system design, reporting mechanisms, lead/contact/opportunity/contract flow, process optimization, communication strategies, and cross-functional collaboration are integral aspects of this role. This role also supports sales enablement efforts by managing tools, processes, and content that improve sales team productivity and effectiveness.
Responsibilities:
- Design and implement workflows to support marketing services and cross-functional alignment.
- Define marketing processes, roles, decision points, timelines, and budget requirements for campaigns and programs, fostering clarity and coordination among stakeholders.
- Research, evaluate, and recommend tools, software, and methodologies to enhance organizational efficiency and agility, leveraging expertise to improve marketing operations.
- Establish Key Performance Indicators (KPIs) and spearhead data collection, measurement, analysis, and reporting to facilitate informed strategic and tactical decision-making by leadership.
- Oversee campaign processes and approvals, ensuring adherence to timelines and budgets, and communicate effectively regarding campaign goals, effectiveness, and ROI to stakeholders.
- Analyze customer experience funnels and identify drivers of success, providing actionable insights to enhance customer engagement and satisfaction.
- Attribute opportunities generated by marketing campaigns, contributing to a comprehensive understanding of the impact of marketing efforts on sales outcomes.
- Collaborate in defining and refining lead qualification and scoring definitions to optimize lead management processes.
- Define and manage the lifecycle of sales enablement assets, ensuring alignment with sales stages and buyer journeys.
- Establish metrics to evaluate the effectiveness of enablement programs, including ramp time, content usage, and sales performance improvements.
- Lead change management initiatives to ensure successful adoption of operational changes, including developing and implementing training and communication strategies.
- Collaborate with cross-functional teams to execute operational plans, optimize processes, and identify opportunities for improvement.
- Oversee forecasting processes and provide analytical support to sales leaders to drive increased predictability and effectiveness in business operations.
- Partner with Analytics, Finance, and other stakeholders to assess feasibility, measure ROI, and report on the impact of sales promotions and initiatives.
- Develop and automate reports, KPIs, and dashboards in partnership with analytics and business units to enhance performance visibility, accuracy, and continuous improvement.
- Manage marketing administrative functions within Salesforce, Salesforce Marketing Cloud, and other relevant platforms, maintaining data integrity and operational efficiency.
- Serve as a subject matter expert on processes and data, collaborating cross-functionally to ensure accurate reporting and documentation of processes.
- Facilitate regular feedback loops with sales teams to refine enablement strategies and materials based on frontline insights.
- Perform ad hoc analytical tasks to support sales leaders and other stakeholders.
Requirements:
- Bachelor’s Degree in marketing, operations, business administration, information technology, business management, or equivalent experience preferred.
- 5+ years of experience in sales, marketing, business operations, or a related field, with a proven track record in developing internal and external business relationships.
- Proficiency in Salesforce or similar CRM systems, with strong organizational skills and a demonstrated ability to meet deadlines and optimize business operations.
- Proficiency in creating reports, building visualizations, and utilizing macros and queries to clean and transform data for strategic decision-making.
- Collaboration with data analysts to derive business intelligence insights, demonstrating a balance between strategic thinking and attention to detail.
- Ability to thrive in a fast-paced, dynamic environment, effectively managing multiple workstreams while maintaining a focus on achieving strategic objectives.
- Familiarity with Salesforce Einstein Analytics or Tableau, and proficiency in Microsoft Office Suite, particularly Excel modeling.
- Strong interpersonal skills are essential, with the capability to communicate effectively at an executive level and collaborate seamlessly with stakeholders across the organization.
- Proficient in Outreach, including sequence optimization, user permissions, and engagement analytics, with experience integrating it with Salesforce to improve workflow and data accuracy.
