JOB DESCRIPTION AND POSITION REQUIREMENTS

The Academic & Student Services Office at Penn State Dickinson Law in Carlisle PA is seeking a coordinator to provide part-time essential project and logistical support to the Senior Assistant Dean for the planning and execution of Penn State Dickinson Law's 2027 commencement activities across the Carlisle and University Park locations, including two commencement ceremonies, two graduate receptions, and one awards ceremony.


Responsibilities may include:

  • Event Planning and Coordination: Assist with developing and coordinating event plans, timelines, logistics, vendor engagement, and internal communications for Commencement 2027 activities at both law school locations.
  • Project Timeline and Communications Calendar: Develop and maintain a comprehensive commencement timeline identifying key milestones, deadlines, and communications to graduates, faculty, staff, alumni, vendors, speakers, and other stakeholders throughout the 2026-27 academic year.
  • Vendor and Service Coordination: Support the identification, confirmation, and coordination of commencement-related vendors and service providers, including venues, catering, floral services, photography, regalia, audiovisual services, musicians, and other event needs.
  • Graduate Communications: Draft and coordinate foundational communications for graduating students, including information regarding commencement requirements, regalia ordering, event schedules, awards activities, receptions, guest information, commencement script, and other relevant deadlines and logistics.
  • Faculty/Staff Communications: Draft and coordinate foundational communications and calendaring for faculty and staff participating in commencement activities including regalia ordering, event scheduling, and calendar invites.
  • Website and Event Materials: Assist with updating commencement-related website content and coordinating with Marketing and Communications on event programs, invitations, signage, flyers, and other materials.
  • Speaker and Program Support: Assist with speaker confirmations, program information, event schedules, and related communications and logistical needs for commencement and awards programming.
  • Event Logistics and Run-of-Show Planning: Develop detailed logistical plans, checklists, and run-of-show documents for the Carlisle and University Park commencement ceremonies, receptions, and awards ceremony, in consultation with the Senior Assistant Dean and other key stakeholders.
  • Stakeholder Coordination: Coordinate as needed with law school and University partners, faculty, staff, vendors, and other stakeholders to support timely completion of commencement planning activities and deliverables.
  • Progress Reporting: Meet regularly, generally weekly, with the Senior Assistant Dean to review project status, upcoming deadlines, vendor needs, communications, outstanding issues, and next steps.
  • Additional Project Support: Provide other limited commencement related planning, communications, and logistical support as mutually agreed upon and necessary to support successful execution of Commencement 2027 activities.


Period of Employment: This role will provide project and consulting support from October 15, 2026, through January 30, 2026.


Experience required: Minimum of 5 years of commencement event planning experience in a law school setting, preferably with a two-location law school model, and experience working in student affairs.
