Partner Operations Specialist
Location: Remote
Reports to: Director of Partner Operations
Works closely with: Partner Success, Enrollment, Marketing, Finance, RevOps/Tech, Data Operations
About the Role
Partner Operations is the systems and data backbone of our partnership model. We ensure partners are launched, enrolled, billed, and reported on correctly every time.
The Partner Operations Specialist owns the detailed execution that powers partner setup, launch readiness, and the Lead → Application → Enrolled journey. This role ensures configurations are accurate, workflows function as intended, and cross-functional teams have clear visibility into operational status.
This position is execution-heavy, particularly in the first several months. You will spend meaningful time:
- Configuring and auditing Salesforce records
- Managing forms and field mappings
- QA’ing landing pages, email triggers, and automation workflows
- Supporting launch coordination and cross-team alignment
- Monitoring funnel movement and flagging operational risks
- Supporting partner relationships, communication and implementation
At the same time, this is not a task-only role. As you build context and credibility, you will be expected to:
- Identify recurring friction points
- Recommend structural improvements
- Contribute to process standardization
- Support scaling projects that reduce manual work and complexity
Success in this role means launches are predictable, data is trustworthy, cross-functional teams feel supported, and operational improvements ship consistently over time.
What You’ll Own
1. Launch Execution & Operational Leadership
Our highest operational risk is during launch and a partner’s first term. Precision here builds long-term trust.
You will:
- Coordinate with partners to complete Launch milestones & source registration data
- Configure and QA Salesforce partner and term setup
- Validate application and registration workflows
- QA landing pages, forms, and transactional emails
- Manage launch readiness checklists and cross-functional signoff
- Ensure partner requirements and configurations are reflected accurately in systems
- Surface blockers early and clearly
- Triage operational issues and route them appropriately
- Support in-term deliverables and reporting inputs
2. Lead → Application → Enrolled Workflow Oversight
You will help maintain clean visibility across the post-lead funnel and ensure operational conditions support enrollment success.
You will:
- Monitor funnel dashboards and flag stalled movement or anomalies
- Identify friction caused by configuration, eligibility rules, or workflow gaps
- Partner closely with Partners to source and Data Operations to process registration and directory data dependencies
- Support census confirmation and billing alignment from an operational setup perspective.
3. Systems Ownership & Scalable Improvement
You will maintain the systems that power partner delivery and help make them better over time.This role requires both strong attention to detail and systems-level thinking.
You will:
- Maintain Salesforce partner objects and term configurations
- Update partner program details, contacts, and data-sharing structures
- Perform QA on form logic, display rules, and automation workflows
- Monitor integration tools and escalate issues appropriately
- Maintain and refine documentation and SOPs
- Liaise with University partners on implementation items.
As you grow in the role, you will:
- Identify opportunities to optimize and standardize configurations
- Reduce manual work through better structure or automation
- Contribute to operational improvement initiatives each term
- Support cross-functional scaling projects (forms evolution, automation readiness, workflow redesign)
Qualifications
- 2–4 years in Project management, operations, implementation, or systems support roles
- Strong working experience in Salesforce
- Experience working with internal cross functional emails and external clients
- Experience with basic data programs, form platforms, automation tools (e.g., Zapier, FormAssembly, Excel), and email platforms preferred
- Highly detail-oriented with strong QA instincts
- Demonstrated ability to identify process improvements, not just execute tasks
- Comfortable balancing structured operational work with problem-solving
- Clear written communicator who escalates with context
- Experience in higher education, edtech, or SaaS preferred
