Job Summary  | The IT Purchasing and Inventory Tracking specialist is responsible for managing the procurement of IT equipment and software, as well as maintaining accurate records of IT inventory using available tools. This role involves working closely with various stakeholders, including HCI and University IT teams, vendors, and finance to ensure purchasing policies are communicated and adhered to. This role also ensures that the organization’s IT assets are efficiently tracked, monitored, and aligned with business needs.

Responsibilities  | Key Responsibilities:Procurement Management: Collaborate with IT teams and other departments to identify IT equipment and software needs. Research product requests with existing vendors, obtain quotes, and supply information to users. Submit and manage purchase requests, ensuring compliance with organizational policies including but not limited to security policies and the university’s software rules. Review and pay IT invoices such as Verizon, AT&T, Comcast and others when necessary. Maintain relationships with HCH and HCI vendors to stay informed about product offerings and pricing.  Inventory Tracking and Management: Work with IT management to create an inventory process to maintain an accurate inventory of IT assets, including hardware, software licenses, peripherals, and accessories. Collaborate with IT teams to conduct regular physical audits and reconcile physical assets with digital records. Work with finance and other groups to develop and enforce inventory control procedures. Coordinate the deployment and retirement of IT assets in collaboration with IT teams.
Documentation and Compliance: Ensure compliance with organizational policies, industry regulations, and software licensing agreements. Maintain complete and up-to-date documentation of all IT purchases, warranties, and licensing agreements. Generate reports on IT purchasing costs, inventory levels, and compliance as needed. Create and maintain the HCI IT standard hardware catalog depicting the makes, models, and pricing.
Vendor Relations: Foster positive relationships with HCH and HCI vendors for IT-related products and services including internal university vendors and services. Collaborate with vendors to receive information on emerging products and industry trends, product recalls, out-of-stock items, delayed or other delivery issues. Work with users to resolve purchasing issues, initiate warranty repair requests, and answer questions regarding the procurement process.
Other Duties:The Huntsman Cancer Institute is a dynamic, fast paced environment where the needs of medical research and patient care advance rapidly. Due to this, there are duties that will be assigned if/when necessary.Work Environment: Primarily works in a professional office environment. Requires prolonged periods of sitting, working at a computer, and using standard office equipment (keyboard, mouse, phone, copier, scanner). May require occasional lifting and transporting of IT equipment and packages weighing up to 40 pounds (e.g., laptops, monitors, desktops, network hardware). Periodic work in storage rooms, inventory areas, or data centers with exposure to varying temperatures and moderate noise levels. Regular interaction with vendors, suppliers, internal departments, and IT staff both in person and via phone/Teams/email. Must be able to manage multiple priorities, meet procurement deadlines, and respond to urgent equipment needs in a fast-paced environment. Requires attention to detail when handling purchase orders, contracts, asset records, and compliance documentation. Must maintain confidentiality of financial data, vendor contracts, and organizational purchasing information. Qualifications: Bachelor’s degree in IT or Business, or comparable years of experience. Proven experience in IT procurement, inventory tracking, and vendor management. Knowledge of IT hardware, software, and licensing. Proficiency in using procurement and inventory management software/tools. Strong attention to detail and organizational skills. Excellent communication skills. Ability to multitask, prioritize, and work effectively in a fast-paced environment.
Minimum Qualifications  | EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).
Procurement Specialists (Technology), II: Requires a bachelor’s (or equivalency) + 4 years or a master’s (or equivalency) + 2 years of directly related work experience.
