Job Description:
The W. P. Carey School of Business is seeking a Program Manager to serve on its Marketing and Communications External and Internal Events team.
Under administrative direction, performs work of considerable complexity planning, coordinating, organizing, staffing and supervising the program delivery of special events programming sponsored by the Dean's Office. Serves as the primary point of contact for special event logistics. Independently ensures that the goals and objectives of the project or program are accomplished in accordance with priorities, time limitations, funding limitations or other specifications.
Position Salary Range:
$56,500; to commensurate with education and experience - the salary offer will be based on the candidate's education, experience, and alignment with the role, depending on departmental resources and approval.
Essential Duties:
Provides program management to the Dean's Office in the adaptation of events logistics to achieve desired outcomes
Maintains collaborative rapport with appropriate departments, centers and units to assess event needs and develop event recommendations and plan
Maintains and establishes a positive working relationship with all stakeholders e.g. other departments, businesses and industry, local/area boards, districts and partnerships, etc.
Interacts with Dean's Office leadership to plan and discuss results of events, financial and operational analysis, observations, and recommendations to strengthen and/or improve operational efficiency and effectiveness
Provides assessment of event objectives and outcomes to determine whether financial controls are adequate
Develops a complete logistical plan for each event including, but not limited to: budget, staff, timetable and event procedures
Provides administrative support in conjunction with the Dean's Office to ensure continuity of effort and attainment of event goals
Competently manages the scheduling of meetings via various platforms such as Zoom, Google, and other virtual settings
Works with communications and administrative teams to prepare correspondence for distribution or approval and signature, checking the documents for completeness and accuracy with the highest attention to detail
Prepares reports, memorandums, and meeting minutes with a high level of accuracy and efficiency
Prepares reports and effectively and clearly communicates with team members in a timely and professional manner.
Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
Performs tasks contributing to online and in-person program deliveries including participant registration, digital platform setup; maintenance, classroom booking and setup, coordinating event timelines and agendas, building Power Point decks with compliant university brand standards, copyright orders, catering selections, prepare seating charts, materials shipping, print orders and digital file organization, compile and distribute evaluation data, and work in partnership with other school events and program managers
Acts as primary liaison with event speakers and Technology Strategy and Operations team for instructional/audio visual needs
Directs and oversees activities of student workers assigned to events
Provides on-site presence and support as needed during the event to ensure coordination of all aspects of the event including, but not limited to: service levels, contract negotiation, vendor selection, collateral materials, set-up/break-down and registration to ensure delivery of successful, effective and smooth events
Reviews, approves and makes all final billings for payment and submits appropriate paperwork to the W. P. Carey Business Office
Develops performance indicators and accountability reports for special events and maintains files of all pertinent information
Desired Qualifications:
Experience in Event Management (5 years)
Experience with strategic planning
Demonstrated knowledge of ASU policies and procedures in relation to executing event, programs and meetings on campus
Demonstrated knowledge of budgets, finance and management principles and practices
Experience in building and maintaining collaborative partnerships for long-term success
Experience in developing strategies and technical specifications for projects, ability to manage complex technology projects
Ability to clarify roles and responsibilities to ensure understanding of expectations; takes action to mitigate conflict
Experience with Event Management software including but not limited to Stova, Eventbrite, Zoom Webinars etc.
Experience in Microsoft Office and Adobe software
Experience and sensitivity working with colleagues and students from diverse backgrounds and a commitment to fostering an inclusive work and learning environment in which students and colleagues from a variety of backgrounds, cultures, and personal experiences are welcomed and can thrive
Working Environment:
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse
Required to stand for varying lengths of time and walk moderate distances to perform work
Ability to clearly communicate to perform essential functions
Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
Regular activities require ability to quickly change priorities, which may include or are subject to resolution of conflicts.
