Job Description  | Job Summary/Purpose
The Program Manager for Outreach & Engagement provides operational coordination and management for pathway programs, recruitment outreach initiatives. student engagement programming, grant development, and divisional research compliance within the Division of Admissions, Advising & Student Life.
The Program Manager for Outreach & Student Engagement is responsible for the development, implementation, and evaluation of strategic outreach initiatives and student engagement programs that support the recruitment, retention, and success of a mission-aligned medical student body. This role collaborates across Admissions. Student Affairs, and external partners to strengthen pathway programs, enhance community engagement, and promote access to medical education, with a particular focus on West Virginia and rural populations.

Reporting to the Senior Associate Dean of Admissions, Advising & Student Life, this position manages outreach and recruitment initiatives, strengthens Institutional recruitment pathways, supports medical student affinity organizations. assists in securing external funding lo sustain and expand pathway programming, and manages the division’s regulatory compliance with the institutional Review Board (IRB).

Work Environment This position is primarily office-based with regular travel for recruitment activities. Evening and weekend work may be required to support outreach events, recruitment activities, and student programming.

Essential Duties and Responsibilities
Recruitment & Outreach
Develop & coordinate recruitment outreach initiative aligned with the School of Medicine priorities Support the Admissions office with applicant engagement and recruitment programming Conduct recruitment travel in-state and out-of-state to colleges, universities, and professional conferences Build and maintain partnerships with pre-health advisors, educational institutions, and community organizations Represent the School of Medicine at recruitment events, fairs, and community engagements Support initiatives that promote awareness of careers in medicine, particularly among  underserved populations Assist with the development of presentations and recruitment materials Track and report recruitment engagement metrics and outcomes
Pathway Program Oversight
Design, implement, and evaluate pathway programs aligned with institutional mission Coordinate summer enrichment programs, workshops, and pre-medical development initiatives Track participant outcomes and assess program effectiveness using data-driven approaches Collaborate with faculty faculty, advisors, and external partners to enhance program impact Provide operational insight of pathway and enrichment programs Coordinate logistics, programming, and evaluation of outreach initiatives Monitor program effectiveness and prepare annual outcome reports Support alignment of pathway initiatives with accreditation and institutional goals Collect, analyze, and report on program performance, impact, and outreach metrics Track and report engagement data using CRM tools (e.g., REDcap, Salesforce, or Excel)
Student Engagement & Affinity GroupsSupport medical student affinity organizations; assist with program coordination, event logistics budget tracking and compliance Support student leadership development and engagement initiatives and activities Develop programming that supports student engagement, belonging, and professional development Partner with Student Affairs to support initiatives that promote wellness, inclusion, and professional identity formation Support retention-focused strategies across the learner lifecycle

 Required Qualifications 
Education  | Master’s degree in higher education, public health, healthcare administration, or related field.
Experience  | Minimum of three (3) years of professional experience in academic medicine, higher education, outreach programming, admissions, student affairs, or program management. Demonstrated experience with project coordination and data tracking. Experience assisting with grant proposal development. Experience with or familiarity with IRB submission and research compliance processes. Strong written, verbal, and organizational skills. Ability to travel in-state and out-of-state.
