Macmillan Publishing is seeking a Royalties Assistant. This role would report to the VP of Royalties and support the day to day functioning of the Royalties and Finance Operations teams by managing physical and digital royalty processes, maintaining organized systems, and providing targeted project support. This role ensures smooth statement production, efficient mail handling, clean documentation, and well-maintained operational resources, enabling the broader team to work efficiently and accurately.
Major Responsibilities:
- Coordinating statement printing and stuffing
- Managing mail (returned checks, bank enrollments, tax forms)
- Re-organizing the multiple royalty Google drives and standardizing folders
- Assisting with documentation needs, including creating a "dashboard" for Royalty Managers to easily find forms, documentation, etc. that is situation-based. Maintaining and updating this as things change and develop
- Working with VP, Finance Operations to close out the royalty file archiving project
- Organizing the in-office royalty space and supplies (paper, envelopes, stamps, labels, etc) so people can locate them easily. Managing inventory and ordering supplies when needed
- Assisting VP, Royalties with editing and creating manual statements for reserve adjustments, payment adjustments, etc.
- Assisting VP, Royalties with data cleanup or research
- Other in-person projects tasks, e.g. mail merge and mass mailings for bank and tax forms
Qualifications:
- 1-2 years relevant office experience
- Familiarity with book publishing industry and/or royalties
- Familiarity with Biblio royalty platform is a plus
- Will need to be able to come into the office at least twice a week
- Must be detail-oriented, process-oriented, and exercise good judgment
- Comfort with technology and systems--Proficiency with Microsoft Excel, Word (ie.mail merge), Adobe Acrobat, and Google Workspace
- Must have high personal and professional standards of integrity and ethics
- Established written and verbal communication skills
- Demonstrated ability to multitask and handle multiple tasks at once
- Demonstrated ability to work both independently and collaboratively within a team environment
Pay Rate: $25-30/ hour.
Hours: 35-40 hours/week
