The Marketing Project Management team drives operational excellence through rigorous project oversight, collaboration across teams, and optimization of marketing workflows. This team leads the execution of complex marketing campaigns that support our University Partner and company goals, brand integrity, and business performance.
Job Summary
The Senior Project Specialist plays a key role in managing the workflow and resource coordination for marketing production projects and small-to-mid-sized campaigns. This position supports both short- and long-term projects by creating, scheduling, and resourcing projects, facilitating cross-functional collaboration, and proactively addressing project risks. The Senior Project Specialist serves as a subject matter expert on project management tools, drives task accountability, and supports reporting and process documentation efforts.
Key Duties and Responsibilities
- Leads the planning, execution, and delivery of multiple mid- to large-sized creative production projects simultaneously such as paid media/social assets, landing pages/organic site updates, and development of print assets and other marketing collateral, as well as small- to mid-sized program launches ensuring they are completed on time and within scope
- Collaborates with low- to mid-level stakeholders across marketing teams to identify dependencies and triage any risks and issues
- Monitors resource capacity of creative resource teams and utilizes creative problem solving to unblock teams; works with project management leaders to prioritize projects as necessary
- Coordinates retrospective meetings and contributes to process improvements
- Utilizes available project management tools to track project timelines, deliverables, and risks
- Assists project managers with planning and execution of tasks for larger initiatives, providing necessary support to ensure project success
- Supports departmental process optimization and documentation efforts; Evangelizes improvements through team

QUALIFICATIONS
Bachelor’s Degree
Marketing, Business, Project Management, Communications, or related field
2-5 years of intermediate experience in project or program management
1+ years experience working in Higher Education, Creative Agency, and/or Online Program Management (OPM) company
Experience managing web site and digital marketing projects.
Licenses & Certifications
Project management certification (CAPM, PMP, Agile, etc.)
Skills/Knowledge/Abilities
Strong project management and organization skills
Proficient in Microsoft Office Suite, SharePoint, Teams
Task and time management
Ability to effectively interact with a variety of teams (creative, UX, development, scrum masters, project managers, product marketers) at all levels of management within a department (specialist, manager, director, VP)
Strong verbal and written communication
Strong interpersonal and relationship building skills
Workflow and resource planning
Risk management and strategic problem-solving
Proficiency with sophisticated project management tools
Proficiency with Adobe Workfront
In-depth understanding of web project workflows, terminology, etc.
Ability to work independently in a global remote environment
Strong understanding of integrated marketing strategies, including SEO, UX, digital, traditional, email, and social media
Ability to multi-task and juggle competing priorities
Quick learner, innovative, proactive, flexible, curious, and adaptable
Strong analysis, collaboration, and problem-solving skills
