Job Description
The Related Services Coordinator plays a critical leadership role in the administration, coordination, and oversight of all related services provided to students with Individualized Education Programs (IEPs) enrolled at Indiana Gateway Digital Academy. This role ensures compliance with state and federal special education law (Article 7 and IDEA), facilitates service delivery in a virtual environment, and supports collaboration among service providers, families, and instructional staff.

Residency Requirements: Strongly prefer residents of Indiana. May consider residents of surrounding states (MI, OH, KY, or IL)


The remote Related Services Coordinator plays a critical leadership role in the administration, coordination, and oversight of all related services provided to students with Individualized Education Programs (IEPs) enrolled at Indiana Gateway Digital Academy. This role ensures compliance with state and federal special education law (Article 7 and IDEA), facilitates service delivery in a virtual environment, and supports collaboration among service providers, families, and instructional staff.

This is a full-time REMOTE position. Ability to work independently, typically 40+ hours per week is required. Ability to maintain a professional home office without distraction during workday, typically 9-5 (or 8-4) or as defined by the school. 

Key Responsibilities
Service Coordination & Compliance
  • Coordinate and schedule related services for all eligible students, ensuring services are delivered in accordance with IEP requirements and timelines.
  • Monitor and manage contracts and services for speech therapy, occupational therapy, physical therapy, counseling, transportation (if applicable), and any additional related services.
  • Track, audit, and verify documentation of service minutes to ensure fidelity and compliance with Article 7.
  • Collaborate with the IEP team to revise services based on data, progress, or need.
Provider Oversight & Communication
  • Act as primary liaison between INGDA and all related service providers.
  • Conduct regular check-ins with providers to ensure service delivery, maintain quality assurance, and troubleshoot logistical concerns.
  • Provide guidance to providers on virtual best practices, confidentiality, and student engagement.
Budget Monitoring & Fiscal Oversight
  • Work closely with the Special Education Director and finance team to manage related services expenditures.
  • Forecast service costs and assist with budget development, monitoring for overages and cost-effective solutions.
  • Reconcile provider invoices and track service utilization in real time.
Data Management & Reporting
  • Maintain accurate and up-to-date student service records.
  • Utilize data platforms to document service delivery and generate reports on compliance, service minutes, and student outcomes.
  • Prepare and submit required documentation for state and federal audits or monitoring.
Collaboration & Professional Development
  • Partner with school leadership, case managers, and instructional staff to ensure that related services are integrated effectively into students’ learning experiences.
  • Provide training or technical assistance to staff regarding service delivery models, documentation, and compliance expectations.

Required Qualifications
  • Valid Indiana licensure or certification in special education or related field.
  • Minimum of 3 years’ experience working in special education, with direct involvement in related services coordination or case management.
  • Strong understanding of Article 7 (Indiana’s special education law), IDEA, and FERPA.
  • Experience working in or with virtual schools or teletherapy platforms preferred.
  • Proven ability to manage multiple contracts, budgets, and service logs simultaneously.

  • Proficient in data systems, spreadsheets, and compliance tracking tools.
