Provides leadership and daily oversight of an integrated program encompassing a complex center or multiple departments at the University. Oversees budget administration, allocation of resources, projects, and supervision of staff. 

1.Develops, implements, and directs a comprehensive program for a complex center or multiple departments. 
2.Collaborates with the leadership team to establish priorities for departments. 
3.Develops and manage budgets, staffing plans, and departmental goals in alignment with the division's strategies. 
4.Establishes performance metrics and lead efforts to monitor departmental activities. 5.Represents department to internal and external constituents. 
6.Creates or review policies and processes and implement improvements. 
7.Hires and directs the activities of staff identifying the department goals and ensures all are met. 
8.Performs other job-related duties as required. 

MQ: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4-year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed.

Sr. Director, Gift & Estates Administration

Summary

We are seeking a motivated results driven individual with experience in charitable gift, estate and trust administration with excellent communication and strong organizational skills.
The Sr. Director of Gift Administration is responsible for managing the full lifecycle of gift agreements for the UH System and overseeing estate administration. Gift agreements outline the use of funds, payment terms, and oversight of the gift, ensuring that the donor’s intent is captured. Gifts take various forms—including current-use, endowed, and planned—and are made at both major and leadership levels. This position ensures that a full review and comprehensive receipt of wills, trusts, real estate, retirement, life insurance and other bequest provisions are accurately received by UHS timely and accurately. This leader serves as the point of contact and main communicator with executors, trustees, and other fiduciaries

Job Duties

General
1. Serves as the primary liaison with the Office of General Counsel for all fundraising units across all UH System Universities including UH’s Division of Advancement & Alumni, liaise with other areas across the Universities to clarify any issues related to major/leadership gift agreements and estate administration as necessary.
2. Coordinates with UH-affiliated support foundations to ensure gift agreements are drafted consistently with UH System policies and protocols and advises on changes/improvements.
UHS Gift Agreements
1. Manages the gift agreement process, including but not limited to: drafting and reviewing gift agreements and/or external donor agreements (foundations and corporations), ensuring alignment with UH System priorities and policies (approved minimum levels, naming opportunities, etc.), streamlining processes, and working with all parties to obtain signatures and disseminate information.
2. Develops and implements a tracking system of all gift agreements that also includes creation of approved templates, document retention, and filing and archiving for executed gift agreements, amendments, and memoranda.
3. Manages the gift agreement process for all UH-affiliated support foundations and advises UH System Universities as appropriate.

4. Collaborates with Stewardship colleagues to ensure requested deliverables can be implemented, tracked, and are consistent. Additionally, liaise with the Naming Committee to ensure that all opportunities are pre-approved before a gift agreement is signed.
5. Promotes best practices and trains colleagues on gift agreement processes.
6. Serves as a member of the UH System’s Gift Acceptance Committee, campaign committees within UH’s 

Division of Advancement & Alumni, and other possible committee appointments.

UH Estates Administration
1. Partners with executors, attorneys, trustees, third-party representatives and family members as appropriate regarding estate management needs, addressing specific questions in the areas of philanthropic planning, and wealth transfer.
2. Manages probate work at the end of UH System donors’ lives to ensure charitable gifts are executed and allocated as intended.
3. Partners with the Office of Gift Planning to prepare and review gift documentation including but not limited to trust agreements, gift agreements, and bequest provisions
4. Collaborates with UHS front-line fundraising staff to support their donor strategies among deferred and blended giving

Certification/Licensing
JD or certified legal assistant preferred
