Job Description
State Reporting Data Specialist
Objective: A Student Data Management Specialist is responsible for maintaining the integrity and accuracy of student records within the student information system (Skyward and On Data Suite), ensuring compliance with data security regulations, and providing data-driven insights to support decision-making within KIPP Texas Public School District. The Data Specialist provides support to the Senior and Regional Director of Attendance and PEIMS in the areas of Federal and State Reporting. These responsibilities include:

Major Responsibilities and Duties:
● Troubleshoot and address any technical issues related to data management within the Student Information System.
● Collaborate with program managers, educators, and other stakeholders to gather input and insights for data collection strategies.
● Communicate findings and insights to the program team, highlighting areas of success and improvement.
● Retrieve data from the student information system to generate a variety of required reports and develop statistical information.
● Gather data from the student information system for others who perform assessments, audits, and statistical tests of levels of service, academic outcomes, student demographics, and other relevant information.
● Research and analyze a variety of student data, such as but not limited to, curriculum and student information, academic achievement, and special program reviews.
● Lead all state reporting collections, including ECDS, Charter School Waitlist, SELA, SPPI-14, Child Find, Class Roster, and RFT.
● Receives data from departments and school districts; inputs and codes data into assigned systems; extracts data as needed; prepares and maintains a variety of records and files related to work; assists in providing information and data for reports, including mandated reports.
● Verifies data accuracy within the student information system, including attendance, testing, conferences, special services, grades, and student outcome data. Prepares standardized and custom reports of student information.
● Reviews, audits, and verifies the accuracy of work for completeness and compliance with applicable laws, regulations, and procedures.
 ● Prepares, assembles, and distributes a variety of information and reports to teachers, resource specialists, and others connected with student services. Compiles data and generates reports for special education, District, and State agencies.
 ● Attends and participates in assigned meetings, in-services, and Region 4, TEA training; assists with developing and delivering training and instructional materials to staff, as needed.
Student Information System
● Assist and support the Director of Attendance and PEIMS with system configuration and State Reporting Updates.
● Assist and Support the Director of Attendance and PEIMS with SIS Trainings.
● Ongoing monitoring of SIS/TSDS changes is incorporated.
● Quality Assurance Testing for the release of new SIS Reports or Reporting Elements Software Support: On Data Suite
● New User Training for On Data Suite
● Data/System Verification to ensure data is correct and reporting correctly to TEA/TSDS
● Attend ongoing trainings and other duties as assigned

Qualifications
Education/Certification
  • High School Diploma or GED
  • 60 Hours of Completed College Hours
  • Bachelor's Degree in Business Administration Preferred
  • Knowledge, Skills and Ability

  • Utilize designated databases for data collection and analysis, projections, and

  • Organize, prioritize, and perform tasks connected with multiple projects and meet expected time constraints.
  • Develop and write procedures that guide data collection, and assist special programs staff with data management and decision support
  • Ability to use personal computers and software to develop spreadsheets, perform data analysis, and do word processing.
  • Proficient in keyboarding, 10-key numerical data entry, and file maintenance skills.
  • Ability to meet established deadlines. Strong organizational, communication, and interpersonal skills.
  • Ability to understand detailed written or oral instructions.
  • Knowledge of Student Attendance Accounting Handbook (SAAH)
  • Knowledge of TREX, TSDS, and interpret and apply State laws and regulations
  • Skill in computer operating systems along with district standard software packages such as MS Office (Word, Excel), G-Suite, and other web-based data management systems
  • Learn and apply computer-aided software and equipment used for data entry and transfer.
  • Maintain productive relationships with staff and external agencies.
  • Requires work under pressure, meeting deadlines and timetables, and maintaining attention to detail.
  • Ability to lead collection and provide technical assistance using appropriate lines of inquiry to elicit user needs or problems.

Experience
  • Three (3) years of experience in school district administrative support positions requiring collecting and entering data; experience using coding systems preferred.
  • Experience in Skyward preferred
  • Experience in campus PEIMS preferred
  • Experience working with student information systems
