Pay Range Information  
Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Position Summary Information 
Job Description Summary 
The Student Support Coordinator serves as a primary liaison for students at Dodge College. They are professional, polished, pro-active, supportive, and friendly, ensuring a welcoming, safe environment for students to seek out academic resources. As part of the Academic Operations Team and under the direction of the Academic Operations Manager, the SSC supports and advocates for the needs of students, but also faculty, staff and academic leadership. This is a student-facing position with an emphasis on delivering excellent customer service as it relates to resolving complex registration issues, providing resources, and guiding current Dodge College students through academic policies and processes. This position is responsible for overseeing the operations of the Deans’ Suite, and student staff. They provide high level customer service by leading by example and ensuring that administrative processes are continually being improved with a customer focus, keeping student success as the constant goal. The SSC will also be expected to perform short- and long-term projects for the academic team, and Dodge leadership as needed.

Responsibilities  | Student Success
Work with Academic Team and make recommendations to improve student customer service, including advising and enrollment services. Assist leadership and work with front office student assistants and academic advisors in resolving complex enrollment issues such as system errors, scheduling conflicts or missing requirements. Hold drop-in student support office hours. Through student feedback and conversations, identify how we can enhance student support services. Oversee the shared email inbox to ensure consistent, professional communication. Student workers will manage daily responses; this role provides big-picture guidance and quality control Oversee Change of Major/Minor process, reviewing applications and making website updates, communicating deadlines and requirements, and serving as liaison with the Registrar. Coordinate transition of admitted to current students, overseeing communication workflow between admissions and academics. Coordinate academic related activities, including orientation week Reserve locations for student club meetings, program-specific workshops and mixers, and one-off space requests. Connect with Dodge College student government representatives, maintaining active communication between advocates and staff. 

Academic Operations and Information Management
Oversee the Deans’ Suite front office operations to foster a welcoming environment and ensure student needs are met. Hire, train and supervise front office student staff, addressing performance and operational issues. Serve as primary back-up coverage to the front office. Work with Academic Programs Specialist on block enrollment communication. Oversee Revision of Program Requirement process and communicate with Registrar’s office. Collaborate with academic team on Peoplesoft assistance and academic course maintenance. Update the Dodge Student Portal academic pages, ensuring accurate and consistent information across Dodge departments Collaborate with the academic team to maintain the online Faculty Resource Guide. Evaluate systems for efficiencies and inaccuracies, making recommendations for improvement. Disseminate academic policies and procedures accurately and efficiently to students, staff, faculty and leadership. Maintain academic records and documentation. Send student communications relating to academic team and leadership initiatives, policies, procedures and vital updates using reports generated in Peoplesoft and Panther Analytics Work to ensure academic policies are enforced.

College 101 Mentorship Program Oversight
Coordinate mentorship program and initiatives while representing Dodge College, attending biweekly on-campus sessions (Saturdays during program season). Hire and supervise Dodge College student mentors, training and working with them in collaboration with the College 101 Director of Programs. Work with the dean to identify and grow mentoring partnerships, expanding opportunities for the program. Work with academic leadership to expand student services through peer/faculty relationship building.

Other Duties. Participate in and contribute to team meetings. Contribute to faculty and staff meetings by providing academic updates and reports. Perform other duties as assigned.

Required Qualifications 
Bachelor’s Degree or equivalent combination in education and experience. Minimum of 2 years’ experience in providing administrative support in a higher education setting Ability to exercise high level of initiative and work independently Self-motivated and proactive in carrying out research and solving problems Strong analytical and critical thinking skills to identify problems and anticipate the impact to office administration problems, providing solutions as needed Demonstrated commitment to working in a collaborative, customer service environment Strong organizational skills to maintain office files, schedule, calendar and coordinate logistics for meetings and special events Strong written and oral communication skills Ability to maintain careful attention to detail and accuracy while working on multiple projects and meeting deadlines Proven computer skills and good working knowledge of Microsoft Office Technical skills to learn and use departmental tools and systems related to the position Excellent interpersonal skills with a diverse group of individuals at all organizational levels both inside and outside of the university Ability to use tact and diplomacy and maintain a high level of confidentiality Ability to carry out tasks and prioritize, when faced with interruptions, distractions and a fluctuating workload Proven ability to exercise judgment and carry out duties in a timely manner
