Pay Range Information
Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate’s qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Job Description Summary
The Talent Management Specialist will be entrusted with the responsibility of data entry and maintenance within University HR systems. This role encompasses the handling of data intake, meticulous record maintenance, and active participation in the recruitment process of new employees. The incumbent will serve as a liaison between Talent Services, Total Rewards, Student Employment, Human Resources Information Systems (HRIS), Payroll, and other university departments. Other responsibilities will include assisting the HR Executive Assistant as needed, managing employee records within HR systems, providing clerical support for record digitization, archival, and disposition, facilitating frontline support in acting as bridge assisting between the university and potential employees to ensure the acquisition of top talent, and other special projects.The individual in this role is expected to demonstrate exceptional organizational skills and the ability to communicate effectively across various departments. The Talent Management Specialist will play a pivotal role in supporting the university’s mission by ensuring that all HR processes are carried out with precision and professionalism.This is a full-time, in-person position.
Responsibilities | Data Entry and Intake:
Collaborates with Talent Services, Total Rewards, Student Employment, and Payroll teams to receive, verify, and enter relevant staff, administrator, limited-term, student, and academic employment source data. Manages data and documentation concerning hiring, termination, employee status changes, and special compensation. Initiates background checks and conducts LiveScan screening as required. Initiates new hire documentation, including DocuSign, as well as conducting I9 verification to facilitate the new hire onboarding process. Collects and verifies various hiring and personnel-related documentation to ensure accuracy and completeness. Coordinates with relevant teams to ensure seamless integration of data and documentation processes. Maintains confidentiality and integrity of sensitive personnel information throughout all stages of data handling. Provides administrative support and assistance to streamline document management and data entry procedures.
Recruitment Processes:
Assist in recruitment processes from start to finish. Pre-screening job candidates and resumes. Initiate background checks, writing and posting job openings Communicating with candidates and staff about logistics for interviews. Extending offers: Sending job offer emails and answering questions about compensation and benefits Special Projects: Works alongside both Talent Services and Total Rewards to assist with any job description work or other HR special projects as assigned. Maintain strong relationships with hiring managers to understand their hiring needs and expectations. Performs verification of employment of current and former employees of the university.
Required Qualifications
Undergraduate degree in Human Resources, Business Administration, or a related field. Minimum of 2-5 years of experience in recruitment, depending on the role. Demonstrated experience in providing administrative support within a professional office setting Proficient communicator, consistently delivering clear and meaningful information, actively listening, and ensuring comprehension among all parties Possesses strong analytical and critical thinking skills, with a keen eye for detail, facilitating effective communication with diverse groups Excellent time management skills, capable of prioritizing tasks efficiently in a fast-paced environment while maintaining composure and focus Upholds discretion and confidentiality at all times Dedicated to fostering diverse and inclusive engagement, building relationships based on trust, respect, collegiality, and kindness Skilled in managing difficult or volatile situations and individuals effectively Demonstrates strong organizational abilities and proactive approach in handling multiple tasks Collaborative mindset, working effectively with others, sharing resources to ensure collective success Experience in business processes and proficiency in data entry
