Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position. | Experience working as an Administrative Assistant in an executive-level office. Experience providing administrative support in an academic setting Experience coordinating events. Excellent customer service skills in interacting courteously and confidentially with others when answering phones and in person. Proficiency in Microsoft Office 365 products, including Outlook, Excel, MS Forms, Teams, and OneDrive. Demonstrate ability to prepare clear, concise, and grammatically correct correspondence. Advanced attention to detail. Demonstrate problem-solving skills. Demonstrated discretion and confidentiality in handling sensitive issues and information. Demonstrated ability to multitask, organize, prioritize responsibilities, and handle interruptions.
Preferred Qualifications | Prior experience providing administrative support in an academic setting. Take initiative and work independently under moderate to little supervision. Experience using Adobe products, Teams, and Zoom for meetings, file sharing, and collaboration. Experience with using P-card, and submitting purchase requisitions and work orders. Knowledge of Texas State University policies and procedures.
Job Description | This position is responsible for providing administrative and general clerical support to the Dean’s Office and the chairs/directors in the
College of Health Professions (CHP).
This position is housed on the Round Rock campus (RRC).Job Duties |
Customer Service: Serve as a receptionist by answering phones and providing customer service to students, staff, faculty, and guests, handling incoming inquiries by researching and providing accurate answers. Represent the Dean’s office as a professional environment.
Event Coordination: Plan and execute logistics of events of various sizes for the Dean’s Office.
Prepare and process Affiliation Agreements (AA) with outside facilities and agencies for student clinical placements. Maintain the database. Provide
administrative support to the CHP Associate Deans as needed. Work c
losely with the Sr. Administrative Assistant to complete Dean’s Office tasks on the Round Rock Campus (RRC).
Serves as the college liaison to coordinate with other support offices across both campuses, such as Academic Affairs, VP RRC, Advising Center, Student Success, Purchasing, Treasurer’s Office, HR, IT, Facilities Operations, etc., to facilitate administrative processes.
Hire and supervise student workers. General office duties: submit key/card access, work orders, purchase orders, and invoices, run errands, troubleshoot, scan/copy materials, prepare/ distribute mail, restock the coffee station, and order office supplies to ensure efficient office operations. Other duties as assigned.
