Department Overview:
This position provides technical and administrative support to the Hospital Transportation and Equipment Pool
Services Departments. This position ensures smooth and efficient administrative operations by interpreting
program policies and controlling regulations, writing and updating policies, working manuals, giving technical
training, reviewing program operations and reporting of findings. The responsibilities include supporting
departmental staff and leadership in optimizing program effectiveness through a combination of administrative
tasks and patient centered interactions. This is a critical function position. Function/Duties of Position:
Maintaining Records & Documentation:
- Ensuring accurate and up-to- date employee personnel and Kronos records, managing physical and electronic files, and adhering to strict confidentiality and privacy regulations
Scheduling & Coordination:
- Inputting and retrieving information from systems, TeleTracking, HIMMS and Inmar; running reports to provide data to departmental and organizational leadership, and assisting with data analysis to identify trends and patterns in operations and staffing.
Communication & Customer Service:
- Providing telephone support, dispatching support when necessary, responding to inquiries from various stakeholders (nursing units, ancillary units, colleagues, external partners)
Office Administration:
- Assisting with new hire interviews, scheduling and onboarding new employees; creating and updating daily and monthly schedules with leadership, supports updating and creating program policy and procedurals, managing inventory of supplies and equipment, ordering supplies, processing invoices, filing documents, and performing other general office duties to ensure smooth operations
Compliance & Auditing:
- Monitoring processes for efficiency and accuracy, conducting audits for documentation and environment compliance, and ensuring adherence to health data regulations and standard; identifies operational strengths and weaknesses, problems or areas of noncompliance and recommends corrective action; complies and writes training summary reports
Other Duties as Assigned Required Qualifications:
- Five years of experience with responsibility for program or project monitoring and coordination. The experience must have included program evaluation responsibility.
- A bachelor’s degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of the required experience.
- Must be completed within 90 days of hire:
- In-house biohazardous items handling
- Other compass modules as assigned
Preferred Qualifications:
- Healthcare or hospital experience.
- Experience in safe transporting of patients, specimens, blood products, equipment and supplies, training and compliance experience.
