Job Description Summary

The Business Manager fulfills essential operational and administrative duties for AIM's day-to-day business functions, working in close coordination with the Director of Operations & Finance. This role is critical to ensuring smooth operations across procurement, human resources, grant support, and financial reconciliation activities. The Business Manager reports directly to the Director of Operations & Finance.

The Business Manager serves as the primary point of contact for routine business operations, managing procurement processes, supporting faculty and staff proposals/grants, administering shared faculty startup costs and research/course development grant management, coordinating human resources activities, and ensuring accurate financial recordkeeping and reconciliation across AIM's various budget systems and accounts. This position requires strong attention to detail especially with respect to budgeting and reconciliation, excellent organizational skills, and the ability to navigate complex university administrative systems while providing exceptional customer service to faculty, staff, and students.

Preferred Qualifications
- Advanced degree (MBA) or professional financial/accounting credential (CPA).
- Five (5) years of professional experience in business office operations, including purchasing/travel expense management, procurement, payroll, accounting, financial reporting, budgeting, or related administrative functions.
- Strong interpersonal skills, abilities, and demonstrated experience working effectively with faculty, staff, students, and external partners in both centralized and decentralized work environments.
- Strong attention to detail and accuracy in handling financial transactions and sensitive information.
- Experience with financial systems (e.g. BA4, Workday, Adaptive, Concur), procurement systems, and human resources information systems.
- Significant experience with human resources policies and procedures, including recruitment processes, appointment management, and benefits administration.
- Knowledge of state and federal procurement policies, procedures, and regulations, including experience with competitive bidding processes and contract management.
- Strong demonstrated knowledge of accounting principles, financial reporting, and budget reconciliation processes.
- Experience with UMD and/or Workday financial/HCM systems strongly preferred.
- Experience with sponsored programs administration and grant management systems.
- Experience coordinating staff and faculty searches in a higher education setting.
- Familiarity with sponsored research administration, including pre-award and post-award processes, compliance requirements, and federal grant regulations.

Physical Demands:

Work is performed in an office environment and requires the ability to operate standard office equipment. The candidate will be required to perform activities such as: preparing and analyzing data and figures, engaging on a computer for a significant amount of time, and extensive reading.

Minimum Qualifications

Education: Bachelor's degree from an accredited college or university.

Experience: Three (3) years of professional human resources, payroll, finance, accounting, procurement, or travel coordination experience.

Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.

KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of human resources policies and procedures, and federal, state, and other applicable human resources related laws, rules, regulations, and ordinances.
Skill in oral and written communication.
Skill in the use of Microsoft Office products.
Ability to multi-task and prioritize assignments.
Ability to interpret and apply policies, procedures, regulations, and laws.
