The College of Integrative Sciences and Arts (CISA) is seeking two dynamic Business Operations Specialists (BOS) to join its Finance and Business Operations team on the Polytechnic campus. In this role, you will work collaboratively with members of the Finance and Human Resources teams with responsibilities including, but not limited to, accounting, organizing, and coordinating various business operations related to procurement, travel, account management, and maintenance and account reconciliation.

Essential Duties:
- Process requests including but not limited to, travel authorizations and expense reports, business-related reimbursements, and procurement of goods and services, using the University's various financial systems (Concur, Workday, SunRISE, PaymentWorks), in accordance with established procurement and financial policies.
- Follow up as needed with initiator and other department representatives to obtain all necessary information for business-related expense reports, purchases and/or travel requests..
- Review open encumbrances each month to ensure purchase orders are accurately closed and any applicable funds are returned to the account.
- Initiate journal entries and check deposits.
- Monitor a variety of account expenditures; maintain and reconcile budgets for various accounts, advise and/or determine which expenditures are within the budget guidelines; inform management of irregularities and proceed with corrective action.
- Assist with audit requests in gathering documentation for payroll, p-cards, and financial records.
- Assist with preparing budgets and forecasts, payroll reconciliations, and payroll accounting adjustments.
- Assist with space planning and execution.
- Represent the college/department and serve on various department and university committees as requested.
- Provide reports as requested.
- Other duties and special projects as assigned by CISA financial administrators.
Desired Qualifications:
- Knowledge of software and ASU systems including but not limited to Concur, Workday, PaymentWorks.
- Advanced user of Microsoft Office Suite: Excel, Word, Outlook.
- Effectively manage conflicting priorities, operating within a defined framework, establishing priorities, and meeting deadlines.
- Proficient in problem-solving and adept at developing and maintaining productive working relationships.
- Ability to work independently, ensuring timely completion of deliverables.
- Quick adaptation to changes in policies, laws, regulations, and the overall business environment.
- Demonstrated attention to detail in composing and proofing materials.
- Exercise discretion in handling sensitive and confidential situations and documents.
- Demonstrate initiative to acquire new skills and contribute to the team environment.
- Exhibit excellent oral and written communication skills.
- Ability to research and stay informed about evolving ASU policies and procedures.
Working Environment:
- Days and Schedule: Monday - Friday 8:00 a.m. - 5:00 p.m., evenings and weekends may occasionally be required.
- Ability to clearly communicate verbally, read, write, see and hear to perform essential functions; Regular use of standard office equipment including, but not limited to computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, and associated computer/technology peripherals.
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.
- Frequent bending, reaching, lifting, pushing, pulling, and carrying objects up to 25 pounds (5%).
- Hybrid work is an option for CISA employees. Hybrid arrangements allow employees to spend a minimum of 60% of their regular workweek at their primary ASU work location. Dean or Provost level approval is required.
- Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
