Job Summary 
The Student Employment Coordinator serves as a key member of the Student Employment team, supporting the full lifecycle of student hiring and onboarding. This role ensures a smooth, compliant, and efficient experience for all student employees and hiring departments. The Coordinator acts as the primary point of contact for onboarding, hiring compliance, and policy administration, while providing exceptional customer service and fostering strong collaboration with internal and external partners.
Minimum Education and Experience  | Bachelors degree and three (3) years relevant experience. An equivalent combination of education and experience may be considered.
Preferred Education and Experience  | Bachelor’s degree in Human Resources, Business Administration, or a related field preferred. Experience in HR, student employment, or related administrative work, preferably in higher education. Strong understanding of onboarding and employment compliance (e.g., I-9 verification, federal employment laws). Attention to detail, communication, and organizational skills. Proficiency with HR systems, Microsoft Office Suite, and job posting platforms such as Handshake.

Essential Duties and Responsibilities 
Serve as the primary point of contact for onboarding all student employees, ensuring a smooth and compliant hiring process. Conduct onboarding appointments and essential hiring procedures for new student employees. Lead orientation sessions that provide students with the essential information and guidance needed to successfully integrate into the organization. Complete I-9 verification for all new student hires, ensuring strict accuracy and full compliance with federal employment regulations. Maintain and update all related records with precision. Review and verify department-submitted information in the ePAR system, ensuring accuracy before processing hiring requests. Maintain and manage employee data in HR systems, ensuring up-to-date, compliant, and legally sound records. Review of on-campus positions in Handshake, ensuring adherence to all organizational policies. Monitor and respond to the student employment shared inbox, addressing inquiries and resolving issues in a timely manner. Assist with developing, updating, and maintaining hiring guides, policies, and procedures, ensuring they reflect current compliance standards and best practices. Serve as one of the key liaisons with stakeholders, including UTD HR, Equifax representatives, and other relevant parties, ensuring seamless coordination, compliance, and effective communication. Assist in reviewing and approving student employee hiring proposals, initiate background checks, and extend offer letters, serving as the final checkpoint to ensure accuracy, compliance, and adherence to organizational standards. Assist with additional administrative and compliance-related tasks, including tracking employee compliance, providing reports, and supporting the broader Student Employment team. Oversee and approve student employee hiring proposals, including initiating background checks and issuing offer letters to student hires. Manage and ensure compliance for all part-time, on-campus positions posted in Handshake, providing guidance to departments and ensuring adherence to university policies and procedures. Review and validate department information submitted through the ePAR system, ensuring accuracy and proper documentation prior to processing hiring requests. Serve as primary administrator for the student employment shared inbox, providing timely, accurate, and customer-focused communication to departments and student employees. Maintain and update hiring guides, policies, and training resources to ensure clarity, consistency, and compliance across the institution. Support the onboarding process for student employees, coordinating with departments to streamline hiring timelines and improve the overall student employment experience. Provide training, guidance, and consultation to campus partners on student employment policies, compliance requirements, and best practices. Contribute to continuous improvement efforts by identifying process gaps, recommending solutions, and implementing efficiencies in student employment operations. Other duties assigned.

Additional Information  | Remote Work Statement
After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
