Employee Relations Coordinator Full Description

The Employee Relations Coordinator or Senior Coordinator provides comprehensive administrative, analytical, and operational support for University-wide employee relations functions. This role supports employee relations in case management, ensures compliance with applicable federal, state, and local employment laws, and assists leadership in maintaining consistent, fair, and legally sound HR practices. The Coordinator serves as a key support resource to the Director of Employee Relations and the broader Employee Relations team, including Human Resources Specialist and Consultants. This position requires strong attention to detail, excellent data entry and documentation skills, discretion in handling sensitive information, and the ability to work collaboratively across multiple levels of the organization.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Perform accurate and timely data entry related to employee relations cases, investigations, accommodations, leave requests, and disciplinary actions within the human resources case management and tracking systems.
  • Manage and execute all departmental administrative functions with a high standard of quality, accuracy, and professionalism.
  • Manage the Employee Relations inbox in a timely and accurate manner, ensuring emails are appropriately reviewed, routed, and addressed.
  • Assist in resolving and preventing workplace conflicts, grievances, and disagreements by coordinating schedules, sending follow‑up communications, and providing administrative support to ensure smooth departmental operations.
  • Assist Employee Relations Specialists with termination data entry and workflow processing within Workday.
  • Assist Employee Relations Specialists with Concealed Weapons Permit (CWP) communications and workflow coordination between the Liberty University Police Department (LUPD) and Human Resources.
  • Collaborate with department staff to prepare investigation summaries, communicate outcomes, and support recommended actions related to employee concerns.
  • Execute the development, revision, and maintenance of employee relations policies, reporting procedures, administrative guidelines, and the Employee Handbook, including managing and tracking text changes, revisions, and version control for handbook updates.
  • Assist with exit interview data, prepare summary reports, identify trends, and discuss concerns with senior-level leadership.
  • Assist with Workers' Compensation claims in coordination with the University's third-party vendor, including claim submission, documentation, follow-up, and communication with leadership and employees as needed.
  • Work with the ER team to analyze Workers' Compensation injury trends, complete required reports, and recommend preventative measures to reduce future incidents.

Tier 2 (Senior)
  • Assist in the investigation and development of recommendations related to internal claims of discrimination, harassment, hostile work environment, retaliation, or workplace misconduct in violation of University policies, procedures, or applicable laws (including Title IX, ADA, FMLA, and USERRA) as needed.
  • Provide direct administrative and operational support to the Director of Employee Relations, Human Resources Specialists, Consultants, and Senior Consultants, including case coordination, document preparation, and follow-up actions.
  • Assist to enter, track, audit, and maintain complete records for all employee relations matters to ensure documentation accuracy, timeliness, and compliance.
  • Process Workers' Compensation claims and maintains reporting databases within Workday related to workplace injuries.
  • Support the development and presentation of employee relations communications and handbook updates.

QUALIFICATIONS AND CREDENTIALS

Education and Experience
Tier 1
  • 0-1 years' experience, bachelor's degree preferred
  •  Demonstrated experience with data entry, case tracking systems, and documentation management in an HR environment.
  • Proficiency in Microsoft Office Suite, particularly Excel and Word.
  • Ability to manage sensitive and confidential information with discretion and sound judgment.
Tier 2
  • 2-3 years' experience, bachelor's degree required
  • Two years of experience supporting Workers' Compensation, safety administration, or vendor-managed claims preferred.
  •  High attention to detail with strong organizational, prioritization, and time-management skills.
  • Excellent written and verbal communication skills with the ability to draft professional reports, correspondence, and policy documentation.
  • Proficiency in Microsoft Office Suite, particularly Excel and Word.
  • Ability to manage sensitive and confidential information with discretion and sound judgment.

Work Environment
The working environment in which one will typically perform the essential functions of this position is a climate-controlled setting.  It is well lighted, and the noise level is moderate.  Working environment may include facilitation of events outdoors occasionally.  
Driving Requirements
If the employee is required to travel in performing the duties and responsibilities of the position, the use of one's personal vehicle (or LU vehicles) may be required for travel.  Proof of a valid driver's license, an acceptable DMV record, LU Driving Approval, and liability insurance is required when driving in the performance of the employee's position.

Pay Range
Compensation is determined based on factors such as qualifications, experience, education, skills, and certifications, along with University needs and external market conditions. Market benchmarks may be used, as appropriate, in combination with internal equity to ensure pay is fair and aligned with the broader compensation structure. 

The position may also be eligible for comprehensive benefits, including health insurance, retirement plans, and tuition assistance.
