Job Summary | The College of Medicine Office of Faculty Affairs and Development is seeking a Faculty Appointments and Advancement Administrator to manage faculty database activities and oversee the processing of all faculty-related documents for the College of Medicine. This role ensures compliance with university regulations, supports the Appointment, Promotion, and Tenure Committee, manages the voluntary faculty process, and serves as a key communication liaison for faculty affairs. The administrator handles confidential materials, provides guidance on policies, and contributes to process improvements within the Office of Faculty Affairs and Development.

: Proven ability to meticulously manage complex administrative processes, track deadlines, and ensure accuracy in high-volume faculty appointment, promotion, and database functions. Database Proficiency: Skilled in managing databases, ensuring data integrity, generating reports, and serving as a key resource for database inquiries, as this constitutes a major portion of the role. Policy & Compliance Expertise: Adept at interpreting, applying, and advising on complex university regulations and procedures, ensuring strict compliance in all faculty affairs matters. Professionalism: Demonstrated ability to handle highly confidential and sensitive information with tact and discretion, a crucial aspect when dealing with faculty personnel matters. Exceptional Communication: Excellent written and verbal communication skills to effectively liaise with and provide guidance to faculty, staff, and leadership at all levels regarding complex processes and policies.

Preferred Education/Experience | Bachelor’s degree preferred, or equivalent combination of education and experience. Minimum of 3-5 years of progressively responsible administrative experience, preferably in a higher education or academic medical center environment. Demonstrated experience with database management, administrative process coordination (such as HR, faculty affairs, or complex scheduling), and policy interpretation is highly desirable. Experience handling confidential information is essential.
