Position Summary:
Provide secretarial and administrative support for the Dean of Enrollment Management and Student Experience and reporting departments.

Essential Duties include:
• Act as the primary contact for the Dean of Enrollment Management and Student Experience and related staff, while providing exceptional customer service in a receptionist capacity: in-person, online, and phone.
• Relay messages, coordinate meetings, and produce meeting agendas and minutes as requested.
• Manage Dean’s calendar, prioritize meetings, gatekeep, and ensure that the Dean stays on schedule.
• Assist in management of Dean’s phone and email communications. Maintain confidentiality of all information.
• Assist in the development, proofreading, and maintenance of area procedures, reports, and communications.
• Process incoming and outgoing forms for signature; maintaining log and forwarding to appropriate departments.
• Coordinate, inventory, and order office supplies, materials, and publications across all organizations/budgets.
• Handle inquiries from students and staff regarding college services; assist students with admissions, enrollment, and registration processes serving as liaison and key communication link to the Dean.
• Regularly assist in calling, email, and text campaigns to students in support of enrolment goals and initiatives.
• Effectively communicate detailed information on events, college policies, department procedures, student responsibilities, support services, staff roles, and more.
• Maintain up-to-date promotional signage, informational materials, websites/social media, and online forms.
• Maintain consistent communication and relationships with internal and external stakeholders.
• Provide event support including planning, scheduling rooms, equipment, food, vendors, and overall logistics for Enrollment Management and Student Experience related areas. Assist in-person at events as requested.
• Provide support for team morale activities, including: organizing area meetings, producing internal communications, coordinating professional development trainings, and planning staff celebrations and retreats.
• Process, document, and organize all department financial data: contracts, requisitions, purchasing card receipts, purchase orders, transfers, reimbursements, deposits and more. Maintain detailed records of transactions.
• Track departmental budgets and agency account balances: communicate current balances and potential issues to the Dean and related staff.
• Assist in the collection of vendor data, contracting, and purchasing of materials/services as requested.
• Administer all aspects of individual and group conference travel for the Dean and related areas. Develop timelines/budget estimates, complete advanced reservations/payments for activities, dining, conferences, hotels and transportation. Reconcile and audit receipts in accordance with the Conference Travel procedure.
• Assist in the annual programming and budget development process for all related areas.
• Assist in all aspects of the Strategic Enrollment Plan development, implementation, and tracking of initiatives.
• Maintain structure and organization of the departments digital and physical file systems; maintain back-ups
• Regular attendance on campus is required for this position.
• Perform other duties as assigned by Dean.

Related Duties:
• Provide training and assistance to part-time and temporary staff as needed.
• Assist with related aspects of Customer Relationship Management software functions, including: communications, reports, processes, and dashboards. Communicate data to stakeholders as requested.
• Utilize other enterprise-level software systems in conjunction with related areas reporting to Dean.
• Organize, gather, compile, and prepare statistics for institutional and governmental reports; compose, construct, edit, revise, reorganize, proof, type or word process and duplicate the materials.
• Run reports and provide data updates to the Dean as needed.
• Assist Dean and related administrators with special projects as needed.

Minimum Qualifications:  | Minimum Required Knowledge, Skills and Abilities:
• High School Diploma or GED plus five (5) years of experience and 45 credit hours in related coursework OR the equivalent combination of education and work experience.
• Demonstrated proficiency in Microsoft Office programs including Word, Excel, Outlook, PowerPoint, and letter composition.
• Accurate keyboarding at 55 wpm.
• Note taking ability at 100% accuracy and ability to transcribe notes into acceptable minutes and reports.
• Demonstrated ability to work with statistical information/numbers.
• Demonstrated ability to collaborate with other departments, faculty, and staff in support of students and to further the goals of the College.
• Demonstrated ability to handle a large amount of privileged materials with utmost confidentiality including tax, business, financial, medical, psychological, incarceration, and police records.
• Demonstrated ability to self-direct, work independently, and organize workload in a flexible manner and problem solve. Ability to manage multiple concurrent deadlines effectively. Ability to perform during peak work demands and high stress periods.
• Excellent interpersonal communications; ability to determine the appropriate approach and then employ a wide diversity of interpersonal strategies that result in timely action by others not under this person’s supervision; must be flexible and adapt to variety of work situations and personalities.
• Demonstrated ability to provide a high quality, strong customer-oriented services including “can do” problem solving orientation; strong listening skills; ability to understand customer’s needs; meeting the customer’s needs.

Preferred Qualifications:  | Additional Preferred Qualifications:
• Associate degree or active progress towards earning an associate degree.
• Experience with enterprise-level higher educational software systems, such as Banner, LMS, CRM systems, and Student Affairs Event Management Systems.
• Microsoft Office Certification or other additional office information systems-related software training.
• Experience working in a higher education student services setting.
• Experience managing similar volume and complexity of data, files, detailed information.
