Senior Administrative Assistant Full Description

Job Summary
The Department of Public Health is seeking a Senior Administrative Assistant. In this position, you will provide high-level administration for an individual, group of professionals, department, program, or other administrative functions. This role independently performs non-routine administrative functions exercising discretion, such as coordinate events, conduct searches for information, prepare reports, or handle special projects. You will draft and edit correspondence, promotional materials, or presentations. In this role, you may monitor operating budgets and maintain financial records. This role also handles non-routine inquiries and issues from internal and external sources. 
 
Additional Responsibilities Include:
  • Creating agendas, flyers, or promotional materials. Maintains department newsletter.
  • Updating and maintaining bulletin boards, databases, and mailing lists.
  • Assisting in preparing reports among many other tasks.
  • Attending departmental events which may occur during evenings and weekends.
 
What We’re Looking For:
Required:
Education and Experience: 
  • High School Diploma/GED.
  • Four years of experience in an administrative support role.
 
Skills Needed: 
  • Excellent verbal and written communication skills. 
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality. 
  • Strong organizational and time management skills, with attention to detail.
  • Advanced computer and related software skills; including Word, Excel, PowerPoint, Outlook, Internet, etc. 
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs.
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes.
  • Ability to identify problems and implement or recommend solutions. 
  • Strong drafting, proofreading, and editing skills.
