Description
Reporting directly to the Information Systems Manager, Physical Plant, the Senior Assistant To will provide senior level support to the Facilities and Operations staff. Responsibilities include, but are not limited to: Acts as a point of contact for work order requests, including those for Fire Safety and vehicle maintenance. Enters, opens, and closes work order requests submitted to the department. Reviews work orders for completeness, accuracy, and timely completion. Assists with calculating material used and hours worked for each work order. Generates and updates RPZ forms per schedule. Tracks and updates reports related to overtime worked/scheduled. Generates other forms and special reports as needed per schedule. Assists with accounts payable, invoice status, and contract/addendum requests as needed. Assists with training student aides and reviews work. Serves as backup for the front desk as needed. Provides coverage for the department secretary and staff when needed. Maintains, generates, distributes, enters, and processes Preventative Maintenance records and work orders, including Capital Project and Bond Project work. May perform other assigned duties not specifically identified above but which require the same degree of skill, and which are normally included with the above job description. Hours: Monday through Friday from 9am to 5pm. Subject to bumping
Qualifications
Proficiency using Microsoft Office, including PowerPoint required. Must possess strong verbal and written communication skills. Must be detail oriented, organized, and able to multitask efficiently. Work well with other group members in a team environment and provide superior customer service. Ability to work in a fast-paced, emergency response service organization.
Preferred Qualifications | Prior knowledge of maintenance work order systems and scheduling software preferred. Knowledge of Microsoft Access and Visio is a plus.

Salary/Salary Range | $45,016
