Staff Assistant II - Uintah County Full Description

Overview: 
USU Extension in Uintah County is seeking a motivated and positive person to join our team as Staff Assistant II in Vernal, Utah. Hours are Monday-Friday, 8am-5pm (1 hour break) at 40 hours per week. Work in the evenings/weekend may be required occasionally. A successful applicant must be self-motivated to independently handle a large and varied administrative workload. A helpful, service-oriented attitude is required, with good conflict resolution skills. Responsibilities: 
  • Assume standard office duties, including answering phones, word processing, editing, copying/scanning, mailing, email communication, scheduling, filing, spreadsheets, and data entry.
  • Respond to information requests, office visits, telephone calls, emails, and correspondence promptly, professionally, and courteously.
  • Maintain and reconcile routine accounting records, including monthly ledgers, budgets, financial reporting system reports, and county account statements. Generate monthly budget reports, track county and university purchases, and submit county billing and claims for payment.
  • Prepare various reports, such as financial, enrollment, event reporting, and travel paperwork.
  • Keep the office website and social media platforms current, accurate, and engaging.
  • Assist USU Extension faculty/staff in the organization and logistics of programs and events, including meetings, youth events, community activities, and office functions.
  • Assist in developing and preparing promotional materials for community outreach programs, including educational materials, mailings, advertising flyers, brochures, banners, and postcards.
  • Assist adults and youth with 4-H enrollment and online registration for events. Maintain 4-H enrollments and event registration through the 4-H database (ZSuite).
  • Greet and direct visitors, ensuring a positive and professional experience.
  • Sort, screen, and distribute incoming and outgoing mail.
  • Arrange maintenance of office equipment and coordinate necessary repairs.
  • Compose and word-process various standard documents and correspondence as needed.
  • Provide administrative support, including scheduling appointments, coordinating meetings and conferences, and maintaining and ordering office supplies.
  • Assist staff/faculty with other duties reasonably related to the above functions or as assigned.
 Qualifications:
Minimum Qualifications:
  • High school diploma or GED required.
  • Two years of experience in an office setting or an associate degree/vocational training.
  • Offer contingent upon successful completion of background check.
Preferred Qualifications:
  • Bachelor’s degree.
  • Four years of work experience as an administrative assistant.
  • Knowledge of cooperative extension services.
