Primary Function of Organizational Unit
The Office of Transfer Services (OTS) is a centralized resource for students who transfer to NCCU, and need information on academic associations, campus services, admissions requirements, course equivalences, networking opportunities, and integration into student life. The OTS advocates for all transfer students by coordinating a set of information with community college counselors, advisors, and academic staff. OTS staff recruits, answers questions, and facilitates activities that are enhancing student learning and provides accessibility to resources. The Office of Transfer Services (OTS) is committed to serving transfer students by helping them prepare for rewarding academic experiences, assisting them as they transition to NCCU, and promoting their progress toward graduation.
Primary Purpose of Position
The primary purpose of this position is to provide optimal and excellent customer service to North Carolina Central University prospective and current transfer students by assessing the learning outcomes and program applicability of previous earned coursework, military experience, and certifications. The Transfer Credit Evaluator evaluates and articulates transcript credit for new, current, and returning transfer students in the Banner information system. Evaluates and articulates credit by exam (CLEP, IB, AP, etc…) in the Banner information system. The successful candidate assists the Office of Transfer Services with the implementation of OTS policy and procedures, recruitment and participates in departmental development. This individual uses discretionary judgement (as well as assistance from academic professionals) in the evaluation of student transfer credit. Duties require high level judgement and decision making; public contact with a range of internal and external constituents; thorough knowledge of office procedures, and the ability to maintain accuracy and confidentiality of all information, files, and records. The successful candidate will create, and maintain an accurate course equivalency database in the Banner system.
Required Knowledge, Skills, and Abilities
The successful candidate must possess knowledge of FERPA guidelines and NC Central and UNC System policies and procedures; knowledge of Web navigation; knowledge of Ellucian Banner or an or equivalency system; knowledge of office and record management; knowledge of preparing correspondence; knowledge of Microsoft Office Suite (Microsoft Word, Excel and PowerPoint) Applications; ability to work independently with little or no supervision; to take initiative to see projects and assignments through to completion; to learn, interpret and analyze information to make necessary decisions; to exercise judgment and discretion in problem solving; to plan, prioritize and organize workflow; ability to work flexible schedules; excellent analytical and organizational skills along with written and oral communication skills, excellent editing skills; great interpersonal skills to interact effectively and diplomatically with a wide range of individuals in a high pressure environment.
Minimum Education/Experience
Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Master’s degree from an accredited university in business, public administration or related field with 2-3 years of experience working at the Graduate Program Level is preferred; or a combination of education, training, and experience in a related field. Knowledge of graduate and Professional degree programs and resources Experience implementing workshops, orientations and/or conferences, and recruitment activities.

Primary Responsibilities and Duties

  • Evaluate student records, including transcripts, exams, certifications, and military documents, to determine transfer credit eligibility in accordance with NCCU and UNC System policies, articulation agreements, and memoranda of understanding. Conduct detailed transfer credit evaluations for new, current, and returning students, exercising independent judgment to determine course equivalencies and referring complex cases to academic departments through established systems such as TES. Maintain accurate and up-to-date transfer articulation data within Banner and related tracking systems, ensuring institutional compliance and academic integrity.

  • Research and resolve transfer credit issues, verify institutional accreditation, and support the continuous improvement of transfer evaluation processes through policy development, project participation, and professional development. Provide timely and accurate evaluations to support enrollment yield and student retention while maintaining detailed records of daily evaluations. Collaborate with internal stakeholders and contribute to the mission of the Office of Transfer Services through active engagement in departmental initiatives and other duties as assigned.

  • Maintains a strong working knowledge of systems such as Banner INB, Banner SSB, TES, and BDMS to effectively process and manage transfer credit evaluations. Develops and maintains an internal transfer credit database, ensuring accurate tracking and reporting of student transfer credit information to support institutional goals. Prepares and generates reports as needed, utilizing data to inform decision-making and improve operational efficiency.

  • Demonstrates proficiency in modern communication tools, computer applications, and data entry processes, with the ability to navigate web-based systems and utilize standard Windows software. Leverages technical skills to create and manage transfer credit articulation databases and to query and analyze data related to institutional transfer credit and course equivalencies.

Provides timely notifications to students and advisors when transfer credits have been processed and entered into Banner.

  • Delivers accurate and detailed information, both verbally and in writing, to prospective and current students, families, and campus partners regarding transfer admissions and credit equivalencies. Develops and maintains transfer resources, including Transfer Guides for major programs and a Transfer Student Handbook, ensuring information remains current and accessible. Represents the Office of Transfer Services at orientations and other outreach events, supporting recruitment and student success initiatives.
