Job Description:
The School of Molecular Sciences is seeking a motivated, student-focused Student Support Specialist to play a key role in supporting the advising front office and ensuring exceptional service to undergraduate students. This position is central to the smooth operation of the advising office and provides vital support to both students and advising staff.

The Student Support Specialist will serve as the first point of contact for students, triaging inquiries via phone, email, and in-person communication, and ensuring accurate and timely responses. This role assists students with scheduling advising appointments and navigating academic processes and procedures, while also providing administrative support to academic advisors. In addition, the position contributes to school-wide initiatives by assisting SMS leadership with administrative tasks, events, and special projects that promote student success.

This position supports both immersion (on-campus) and online undergraduate student populations, requiring strong communication, organizational, and customer service skills. The Student Support Specialist reports directly to the Student Support Coordinator and the Associate Director of Academic Services.

Position Salary Range: 
$45,000-$48,000; DOE

Essential Duties:
  • Counsels and confers with students providing program procedures, policies, goals and objectives, technical guidance and problem resolution.
  • Directs students to appropriate program advisors for further program guidance.
  • Coordinates and administers student support to enrolled and prospective students, such as course registration, course overrides, petitioning, withdrawals, program documentation, ASU tools, information sessions, and events.
  • Utilizes and demonstrates fluency with a wide range of relevant and appropriate software and retention-focused strategies including Salesforce, DARS, Peoplesoft, e2e, etc.
  • Assists in collaboration with other colleges and central university offices to ensure a coordinated approach to student retention and persistence activities.
  • Initiates, develops and sustains strong positive relations with other departments to ensure achievement of the mission and goals of the department and college toward student success.
  • Assists with college and unit initiatives to ensure student, faculty, advising staff, and administration needs are met.
  • Assists with development of goals and objectives for advising office operations, in support of the college strategic plan.
  • Maintains student records on database, creates, and provides reports. Provides contact point for enrolled and prospective student information.
  • Assists with coordinating office logistics, scheduling, and other related matters to support advising staff.
  • Initiates DARS exceptions through the college Dean's office and assists advising staff in processing DARS exceptions within the unit
  • Attends and participates in staff meetings, professional development seminars, and other student support related meetings.
  • Works with faculty to resolve student inquiries and concerns.
  • Assists in providing training and guidance to student workers.

  • Experience working in a higher education environment
  • Ability to direct and provide support to undergraduate students enrolled at the university
  • Ability to utilize a wide range of software including knowledge of Microsoft Office Suite
  • Comfortable working in an environment focused on continuous improvement and innovation
  • Evidence of effective written and verbal communication skills

Working Environment:
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.
