Job Summary
Under general supervision, the Marketing Specialist supports the centralized Marketing & Communications (M+C) team within the Office of the Vice President for Research (OVPR). This role serves as the primary coordinator for marketing projects and accounts, supporting initiatives across multiple research and innovation units, including OVPR, the Technology Licensing Office (TLO), Utah Venture Hub (UVH), the Applied Medical Engineering (AME) Lab, and other OVPR-supported programs.

The Marketing Specialist is responsible for managing the flow of marketing work —from intake and planning through execution, review, and follow-up. The role coordinates timelines, workflows, website and content reviews, and performance check-ins to ensure work moves efficiently, stays aligned with priorities, and delivers measurable impact.

As marketing activity continues to scale across the research enterprise, this position provides the operational structure and accountability that allow writers, designers, digital staff, and event leads to focus on high-quality creative and strategic work.

Responsibilities

Marketing Project & Account Management (Primary Responsibility – ~70%)
  • Serves as the primary point of contact for marketing requests from OVPR-supported units.
  • Leads intake of marketing requests and translates needs into clear scope, priorities, timelines, and deliverables.
  • Manages stakeholder expectations related to sequencing, feasibility, and delivery timelines.
  • Maintains visibility across all active projects, tracking status, dependencies, risks, and next steps.
  • Manages shared project dashboards and task systems (e.g., Monday.com) to ensure transparency and accountability.
  • Supports regular workflow and production planning meetings to keep work moving forward.
  • Ensures deliverables move smoothly through review and approval and are completed on schedule.

Website, CMS & Content Review Coordination
  • Plans, schedules, and coordinates periodic website, list and content reviews across OVPR-supported units.
  • Uses the CMS (e.g., WordPress) to audit existing content, identify needed updates, and coordinate revisions with writers, designers, and digital staff.
  • Supports content publishing, updates, and maintenance using established templates and guidelines.
  • Helps ensure web content remains current, accurate, accessible, and aligned with marketing priorities.

Metrics, Impact Reviews & Dashboards
  • Coordinates periodic reviews of marketing performance and impact across campaigns, content, and channels.
  • Maintains and updates simple impact dashboards and summaries (e.g., content performance, campaign status, engagement indicators).
  • Gathers input from team members to ensure metrics are accurate, timely, and useful.
  • Uses insights from reviews to inform prioritization, content updates, and future workplans.

Marketing Operations & Systems Support
  • Assists with maintaining SOPs, intake forms, templates, and workflow documentation.
  • Helps manage shared content calendars and planning tools.
  • Ensures file organization, asset naming, and documentation practices are followed.
  • Supports post-campaign documentation and basic reporting.

Marketing Execution Support (Secondary)
  • Supports day-to-day marketing execution using established templates and guidelines, including:
    • CMS-based publishing and updates (e.g., WordPress)
    • Newsletter assembly and scheduling
    • Presentation and document formatting
    • Light copy edits for clarity, consistency, and accuracy
  • Coordinates handoffs between writers, designers, digital specialists, and event staff.
  • Provides logistical and coordination support during high-volume or fast-turn periods.

Collaboration & Communication
  • Works closely with the Director of Research & Innovation Communications and M+C team members.
  • Coordinates marketing activity across OVPR, TLO, UVH, AME Lab, and affiliated research units.
  • Communicates project status, timelines, and next steps clearly to internal partners.
  • Maintains documentation of workflows, schedules, and process updates.

Minimum Qualifications

Marketing Specialist, II: Requires a bachelor’s (or equivalency) + 4 years or a master’s (or equivalency) + 2 years of directly related work experience.

Marketing Specialist, IV: Requires a bachelor’s (or equivalency) + 8 years or a master’s (or equivalency) + 6 years of directly related work experience.

Preferences
  • Experience supporting marketing campaigns, content development, or communications initiatives.
  • Familiarity with marketing workflows, content lifecycles, and cross-functional collaboration.
  • Experience coordinating website content updates and reviews using a CMS (e.g., WordPress).
  • Comfort working with project management tools such as Monday.com (or similar).
